Executive Assistant – Temp, Fully Remote

About the position

The Rural Collaborative (TRC) is a non-profit organization with 32 member hospitals in WA state. We are currently seeking an experienced Executive Assistant to support the executive leadership team, Board of Directors and Human Resources department for approximately 5 months beginning late June 2026. This position offers 30 hours per week and is ideal for someone who thrives in a fast-paced, mission-driven environment supporting executive operations and HR coordination. This role plays a key part in keeping leadership, compliance, and administrative functions running smoothly across multiple rural healthcare initiatives.

Responsibilities
β€’ Manage executive and board calendars, scheduling, and meeting coordination
β€’ Prepare agendas, attend meetings, and take accurate meeting minutes
β€’ Coordinate travel, lodging, and event logistics for leadership and committees
β€’ Monitor and respond to member communications
β€’ Assist with onboarding new members and ensuring required documentation is complete
β€’ Track compliance items including insurance policies, corporate filings, and renewals
β€’ Ensure reports, documentation, and payments are completed accurately and on time
β€’ Support special projects assigned by executive leadership
β€’ Assist with employee onboarding and benefits enrollment
β€’ Support performance review tracking, merit increases, and bonus processing
β€’ Help coordinate salary adjustments and HR documentation
β€’ Ensure travel and training requests are completed prior to approval
β€’ Assist with contractor payroll processing
β€’ Complete reference checks for suppliers and partners

Requirements
β€’ At least 3 years’ experience in an executive assistant or senior administrative assistant role
β€’ Candidates must reside in Washington State or be willing to relocate to Washington prior to start date.

Nice-to-haves
β€’ HR coordination, onboarding, or payroll support experience preferred
β€’ Strong organization, communication, and time management skills
β€’ Ability to manage multiple priorities and maintain confidentiality
β€’ Experience in healthcare, nonprofit, or rural health environments is a plus
