This is not a Project Manager or field-based role. This position is designed as a systems-first, data-first operational role supporting active construction projects from behind the scenes.

CVC Custom Builders is a luxury residential construction and design-build firm based in Whistler, British Columbia, serving the Sea-to-Sky corridor.
As we continue to scale, we are building a more structured, systems-driven operational backbone and this role is critical to that evolution.
Role Overview
We are seeking a highly organized Project Coordinator / Estimator VA to support our Project Managers and leadership team.
This role acts as the operational and data backbone of our projects, ensuring that all project information, budgets, estimates, documentation, and systems are accurate, complete, and consistently maintained.
This is ideal for someone who thrives in structured environments, values precision and accountability, and takes pride in keeping complex, high-end projects running smoothly behind the scenes.
Key Responsibilities
Project Coordination & Administrative Support

Provide day-to-day administrative support to Project Managers
Maintain project trackers, logs, and reports (Excel / Google Sheets)
Organize contracts, change orders, invoices, and approvals
Ensure all project files are complete, accurate, and consistently organized
Proactively identify missing or incomplete information

Estimating & Cost Support

Assist with quantity takeoffs and estimate preparation
Support budget tracking and cost updates within project systems
Organize and maintain pricing databases, scopes, and cost templates
Ensure estimate data aligns with project documentation and scope

Systems & Data Management

Enter, update, and audit data within construction management platforms
Support consistent usage of systems such as Buildertrend, Procore, or similar
Maintain templates, workflows, and standardized processes
Act as a gatekeeper of data accuracy and system integrity

Coordination & Internal Communication

Assist with purchasing coordination and vendor documentation
Communicate clearly with internal stakeholders and team members
Ensure project data is accessible, reliable, and decision-ready

What We're Looking For

3-5+ years of experience in construction, estimating, real estate, or process-driven roles
Strong proficiency in Excel / Google Sheets (required)
Experience with Buildertrend, Procore, JobTread, or similar platforms (preferred)
Experience with estimating, takeoffs, or cost tracking is a strong advantage
High attention to detail and strong follow-through
Ability to learn systems quickly and follow structured processes
Highly organized, dependable, and process-oriented
Strong written and verbal English communication skills
Comfortable with time tracking tools (e.g., Hubstaff)
Availability to work full-time aligned with Mountain Time (MT)

Estimates are accurate, organized, and aligned with project scope
Project data is consistently clean, current, and audit-ready
Documentation is complete and easily accessible
Project Managers are supported with reliable, real-time information
Systems are followed consistently across all projects
Operational friction is reduced through strong process discipline

Compensation & Work Structure

$12-$16/hour, based on experience and capability
Full-time, long-term role
Remote (Philippines-based)
British Columbia Working Hours
