Virtual Assistant for Online Fitness & Content Agency

About Us We’re a fast-growing online fitness and content agency that helps fitness coaches and entrepreneurs scale their businesses through content, systems, and automation. We’re looking for a highly organized, proactive, and detail-oriented Virtual Assistant to help manage operations, client success, and creative organization across multiple projects. You’ll work closely with our leadership team to ensure clients have a smooth onboarding experience, deadlines are met, and internal systems stay running efficiently. Main Responsibilities Client Operations & Management • Set up new client accounts and ensure automations are working correctly. • Create Canva welcome signs for new clients. • Track deliverables and deadlines for each client using Notion or project management tools. • Maintain up-to-date SOPs and internal processes. Client Success • Create and send weekly client reports summarizing performance, progress, and deliverables. Content Support • Assist with content research when the team is behind or needs extra help. • Create “What’s Trending” reports by finding viral/trending content across multiple niches (fitness, business, wellness, etc.). • Help create weekly engagement posts for our client community chat (polls, discussion prompts, etc.). Organization & Admin • Manage and organize the company calendar (calls, deadlines, and launches). • Keep the backend of our Notion workspace organized and optimized for efficiency. Required Skills • Strong organizational and project management skills. • Experience using Notion (must be comfortable creating and managing pages, databases, and workflows). • Proficiency in Canva for basic design tasks (welcome signs, posts, etc.). • Understanding of social media trends and content creation. • Excellent attention to detail — you notice small errors and fix them before they become problems. • Reliable communication and ability to take initiative without being micromanaged. • Experience managing client onboarding systems or CRMs. • Knowledge of automation tools (Zapier, Relay, etc.). • Interest or background in fitness, wellness, or social media marketing.
