Responsibilities:
• Exhibit a strong sense of understanding and actively embody the Mission, Vision and Core Values of Kennedy Care through consistent behaviors, practices, and decision-making.
• Serve as the product champion for systems, technology, and tools necessary to provide quick and efficient administrative support to a largely remote team.
• Monitor and complete incoming requests from team members in a timely fashion.
• Handle incoming calls, emails, and inquiries, directing them to the appropriate parties.
• Efficiently prioritize and manage multiple tasks, projects, and deadlines.
• Assist in the organization and maintenance of digital files, databases, and records.
• Prepare and edit documents, reports, and presentations.
• Facilitate effective communication between team members, clients, and external partners.
• Assist in organizing and coordinating virtual meetings, webinars, and events.
• Collaborate with team members to distribute tasks and updates.
• Conduct research and gather relevant information for executive decision making.
• Process order requests including but not limited to office supplies, marketing materials, etc..
• Support program and company leadership in identifying opportunities to streamline operations and maximize the benefit of the Virtual Assistants.
• Compile and distribute weekly, monthly, quarterly, and annual reports.
• Other clerical duties as assigned.
Requirements
• Proven experience (3 years) in a similar role, preferably in the healthcare industry.
• Access to a quiet, remote workspace that offers stable, high-speed internet access, free from distractions, at the employee's expense, enabling effective job performance.
• Excellent attention to detail and ability to maintain accurate and organized records.
• Strong analytical and problem-solving skills.
• Basic to intermediate proficiency in using computer systems, including a strong understanding of operating systems (e.g., Windows, MacOS) and basic troubleshooting skills.
• Ability to navigate and utilize various software applications, such as word processing, spreadsheets, email clients, and internet browsers.
• Experience working with Google Suite tools, including Gmail, Google Docs, etc., and knowledge of collaboration features within these applications.
• Proficiency in remote communication tools, such as video conferencing, instant messaging, and VoIP phone systems.
• Passion for delivering exceptional customer and client experiences.
• Collaborative mindset and the ability to work effectively with cross-functional teams.
• Strong understanding of client relationship management.
• Excellent verbal and written communication skills, with the ability to effectively convey information, ideas, and instructions to team members, clients, and partners.
• Strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
• Self-directed and proactive mindset, with the ability to work independently and drive projects and initiatives forward.
• Understanding and commitment to maintaining strict confidentiality of sensitive information.
• Position is hybrid, 25% travel required to Kennedy Care home office in Ann Arbor, MI
