The vision of the foundation is to be the catalyst, through strategic funding and partnerships, that advances genetic and genomic medicine to ensure all persons have access to innovative diagnostics, timely expert care, and breakthrough discoveries.Job Description:The Senior Project Manager of Education, Continuing Medical Education (CME) is responsible for planning, coordinating, and overseeing a portfolio of accredited continuing medical education activities from concept through post activity evaluation. This role ensures that all educational initiatives are delivered on time, within scope and budget, and in full compliance with accreditation, regulatory, and certification requirements. The Senior Project Manager partners closely with physician faculty, planners, accreditation staff, vendors, and internal stakeholders to support the organization’s strategic educational mission. The Senior Project Manager operates with a high degree of autonomy and is expected to independently drive execution across multiple complex initiatives while ensuring alignment with organizational strategy. This role reports directly to the Senior Director of Education. Project Management 25%Planning and InitiationDevelop clear project charters for each CME activity, defining purpose, objectives, success criteria, scope, assumptions, constraints, timelines, and key stakeholders.Translate educational goals, accreditation requirements, and organizational priorities into clearly defined project scope statements that minimize scope creep while preserving educational quality.Identify key stakeholders (internal teams, faculty, planners, vendors, accrediting bodies) and define roles, responsibilities, and decision authority using RACI or similar accountability frameworks.Create comprehensive project plans that integrate educational design, accreditation milestones, faculty deliverables, logistics, technology, and post-activity evaluation requirements.Develop realistic, detailed schedules using milestone-based planning that reflects long-lead items common in CME (e.g., faculty disclosures, content review, accreditation approval, registration build).ExecutionExecute project plans using standardized workflows and documented procedures to ensure consistency, compliance, and efficiency across CME activities.Utilize task management and visualization tools (e.g., Kanban boards or similar workflow systems) to track progress, dependencies, and bottlenecks across concurrent CME projects.Coordinate and facilitate project team activities, ensuring timely completion of faculty deliverables, accreditation documentation, and operational tasks.Apply workflow documentation and process mapping to clarify handoffs between education, accreditation, marketing, meetings, finance, and IT teams.Monitoring, Control & OptimizationMonitor project progress against defined schedules, scope, and budgets; proactively identify variances and implement corrective actions.Use dashboards, task boards, and status reports to provide real-time visibility into project health for internal teams and leadership.Conduct time studies and workload assessments, when appropriate, to evaluate resource utilization, identify inefficiencies, and inform future planning.Track key performance indicators related to timeliness, compliance, budget adherence, and deliverable quality.Communication & Stakeholder ManagementExercise independent judgment in prioritizing competing demands, resolving issues, and advancing projects without requiring constant directionMaintain consistent, transparent communication with stakeholders through structured status updates, meeting minutes, action logs, and decision tracking.Facilitate project meetings with clear agendas, documented outcomes, and follow-up actions to support accountability and alignment.Escalate risks, issues, or decision points in a timely manner to ensure project continuity and compliance.Lead formal project close-out activities, including final documentation review, outcomes reporting, budget reconciliation, and archiving of audit-ready records.Conduct post-project reviews or retrospectives to assess performance against objectives, timelines, and budgets.Capture lessons learned and best practices to inform continuous improvement of CME project management processes, tools, and templates.Annual Meeting Support 20%Serve as the primary project manager for the flagship Annual Meeting, overseeing planning timelines, deliverables, and supporting other compliance requirementsSupport all educational components of annual meetings with administrative oversight of the learning management system (LMS), including related tasks for agenda development, session tracking, faculty assignments, disclosures, accreditation review, credit designation, and post-meeting outcomes reporting.Partner with meetings, events, and logistics teams to support educational integrity and accreditation requirements are embedded in registration systems, on-site workflows, and post-conference processes.Manage high-volume faculty engagement for annual meetings, including onboarding, communications, deadlines, and alignment with accreditation and compliance requirements.Accreditation and Compliance Support 5%Assist the Senior Director of Education and team to ensure all CME activities comply with Accreditation Council for Continuing Medical Education (ACCME) Criteria, the Standards for Integrity and Independence in Accredited Continuing Education, and internal organizational policies, including:Support end-to-end accreditation documentation for each activity, including needs assessments, practice gaps, learning objectives, planning documentation, disclosures, mitigation of relevant financial relationships, credit designation statements, and outcomes evaluations.Assist with compliance requirements for grant funded education activities, such as coordination of letters of agreement, budget reconciliation, and separation of education from promotional influence.Monitoring of content development to ensure independence, balance, and absence of commercial bias.Interface with the American Board of Medical Genetics and Genomics (ABMGG) and support Maintenance of Certification (MOC) and other certification-related initiatives by course development, coordinating eligibility, tracking learner completion, and submitting required participation and outcomes data to certifying bodiesInterface with National Society of Genetic Counselors (NSGC) and support alignment with all requirements for NSGC credit for educational activitiesInterface with American Society for Clinical Laboratory Science (ASCLS) and support alignment with all requirements for P.A.C.E. credit for educational activitiesCommittee Support 5%Provide project management and other operational support for up to three (3) committees aligned to the Education Program, ensuring accreditation requirements and education priorities are maintainedCoordinate committee meeting schedules, agendas, materials, and follow-up actions; document decisions, recommendations, and action items to support transparency and accountabilityTranslate committee guidance into executable project plans, timelines, and deliverables for CME activities and educational initiatives. Learning Management System (LMS) Management 20%Serve as a primary operational lead for the CME learning management system (LMS), ensuring accurate setup, testing, and launch of accredited activities.Configure CME activities within the LMS, including learning paths, session structures, credit types, evaluation workflows, and completion rules in alignment with accreditation requirements.Coordinate integration between the LMS and related systems (e.g., registration platforms, virtual meeting tools, accreditation databases, reporting systems).Troubleshoot LMS issues related to content access, evaluations, credit claiming, and reporting; coordinate platform support as needed. CME Program & Portfolio Management 15%Hold primary responsibility for the coordination and administration of a portfolio of accredited CME activities, including live meetings, virtual programs, enduring materials, and educational series.Develop and maintain a rolling CME calendar aligned with organizational strategy, learner needs, and accreditation requirements.Coordinate faculty recruitment and scheduling to support lectures, series, and conferences.Monitor the development of all CME deliverables to ensure adherence to quality standards, including educational content, learner materials, evaluation tools, and post‑activity reports.Contribute to the establishment and continuous improvement of CME project management processes, tools, and standard operating procedures. Technology & Systems Leadership 10%Serve as a key operational partner to the Senior Director of Education, helping translate strategic priorities into executable workflows, systems, and deliverablesServe as the operational lead for education-related technology platforms, including LMS, abstract management systems, and project management toolsDesign, implement, and maintain workflows using Microsoft tools, including Planner, Forms, SharePoint, and VisioDevelop process maps and system workflows to improve operational efficiency and cross-functional collaborationSupport system integrations across LMS, registration systems, accreditation reporting systems (e.g., PARS), and internal data platformsTroubleshoot technical issues and serve as a primary liaison between internal teams and external vendorsIdentify opportunities for automation, efficiency, and process standardization across education operations Qualifications:Master’s degree in Business, Healthcare, Public Health, Education, or related field requiredAt least 7-10 years of progressively responsible experience in project management, preferably in healthcare, education, or association environments Experience with project management tools and software, such as Planstone, Asana, Smartsheets, and Monday.comAdvanced proficiency in Microsoft 365 tools, including Planner, Forms, SharePoint, Excel, and VisioThe following certifications are required:Certified Associate in Project (CAPM) or Project Management Professional (PMP) certification or similarACCME Data Management and Standards for Integrity and Independence in Accredited CE Certifications required or must be completed within 6 months from hire dateExperience in the accredited continuing medical education space and learning management systems, such as CloudCME, Planstone and OasisLMS, with demonstrated knowledge of ACCME accreditation criteriaExperience supporting MOC activitiesCME experience in academia or a medical society is preferredExperience managing or supporting LMS platforms and system integrationsDemonstrated ability to design workflows, dashboards, and reporting systemsExperience working with abstract management systems and event technology platforms preferredLead vendor relationships, including system vendors, LMS providers, and platform partners, holding vendors accountable for timelines, deliverables, and technical performanceTranslate operational needs into technical requirements and oversee implementation of vendor-supported solutionsAbility to travel domestically occasionally, up to 20%.Remote Work & Technology RequirementsThis is a remote position requiring a dedicated, professional home office environmentThe role involves simultaneous management of multiple systems, platforms, and documents; candidates must have the ability to work efficiently across multiple applications in real timeA multi-monitor or equivalent workspace setup is strongly preferred to support productivity and accuracy in a fast-paced environmentACMG will provide standard equipment, including a laptop and additional monitor as neededAdditional Information:Travel Requirements:This position will require the ability to travel domestically occasionally, up to 20%.Pay Range:$115,000-$125,000The ACMGF pay range for this position is a general guideline only and not a guarantee of compensation or salary.ADA Specifications
