Senior Order Entry Specialist
This is a remote position.
The Senior Order Entry Specialist is responsible for managing complex, high-volume order processing while ensuring accuracy, compliance, and timely fulfillment. This role serves as a subject matter expert (SME) for order management systems and business processes, supports cross-functional collaboration, and drives continuous improvement initiatives to enhance operational efficiency and customer satisfaction.
Key Responsibilities
Order Management & Processing
β’ Accurately enter, review, and validate customer orders in ERP/CRM systems.
β’ Verify pricing, contracts, discounts, credit limits, tax calculations, and shipping terms.
β’ Process EDI, online portal, and manual purchase orders.
β’ Manage order modifications, returns (RMAs), and back-orders.
β’ Monitor order lifecycle from entry through shipment and invoicing.
β’ Ensure compliance with company policies, regulatory requirements, and customer agreements.
Issue Resolution & Customer Support
β’ Investigate and resolve order discrepancies, pricing conflicts, and shipment delays.
β’ Communicate proactively with customers and internal teams regarding order status.
β’ Escalate critical issues and provide timely resolution to minimize business impact.
β’ Support key accounts and strategic customers with complex order requirements.
Cross-Functional Collaboration
β’ Work closely with Sales, Finance, Credit, Warehouse, Supply Chain, and Logistics teams.
β’ Coordinate product availability, shipping schedules, and billing accuracy.
β’ Assist Finance with invoice validation and dispute resolution.
β’ Provide documentation for audits and compliance reviews.
Process Improvement & Reporting
β’ Identify inefficiencies and recommend workflow improvements.
β’ Develop and maintain SOPs (Standard Operating Procedures).
β’ Track KPIs such as order accuracy rate, turnaround time, backlog volume, and fulfillment metrics.
β’ Generate and analyze reports using Excel or reporting tools.
β’ Participate in system upgrades, testing, and ERP implementations.
Requirements
β’ 3+ years of experience in order processing, order management, or customer operations.
β’ Advanced proficiency in ERP systems (SAP, Oracle, NetSuite, Microsoft Dynamics, etc.).
β’ Strong understanding of pricing structures, contracts, and billing procedures.
β’ High attention to detail with strong analytical skills.
β’ Excellent written and verbal communication skills.
β’ Ability to manage multiple priorities in a fast-paced environment.
β’ Advanced Microsoft Excel skills (VLOOKUP/XLOOKUP, PivotTables, reporting).
