The Role We are looking for a Resource Manager who will own how work flows through our business. This is not a passive, spreadsheet-updating role, this is a high-ownership, high-impact position at the center of our operations. You will be responsible for ensuring our Client Delivery Teams are operating at peak efficiency — balancing workloads, solving bottlenecks in real time, and proactively planning for what’s coming next. You will sit at the intersection of Client Delivery, Project Management, Sales, and Finance , with a 360° view of team capacity, utilization, and business demand. Success in this role means closing every loop, making tough calls when needed, and confidently navigating competing priorities across stakeholders. Responsibilities Resource & Workload Management With an emphasis on our Creative Division, you will own daily and weekly resourcing across all client delivery to minimize bottlenecks and reduce inconsistencies across workloads Partner closely with Project Managers to solve real-time and forward-looking staffing needs Allocate resources across projects based on priority, timelines, and team capacity Continuously evaluate team utilization and rebalance workloads as needed Capacity Planning & Forecasting Maintain and evolve the capacity planning model to accurately reflect team bandwidth Flight work across timelines to forecast over/underutilization by role Partner with Sales to understand pipeline velocity and recommend realistic project kickoff timing Provide forward-looking insights on when additional support (freelance or full-time) is required Freelance Operations Own the freelance ecosystem end-to-end: sourcing, vetting, negotiating, onboarding, and managing freelancers Build and maintain a high-quality freelance bench aligned to our needs Partner with Finance and HR on freelance budgets, contracts, and onboarding processes Data & Reporting Own and maintain our internal capacity/utilization tracker Ensure Finance has clear, up-to-date visibility into team utilization and resourcing Lead weekly reporting on utilization, bandwidth, and resourcing risks Translate data into clear recommendations and actions Cross-Functional Partnership Work closely with Project Management, Creative, Sales, and Leadership to align resourcing with business priorities Act as a key decision-maker in prioritization conversations across clients and internal initiatives Navigate tradeoffs and resolve conflicts between competing needs What Success Looks Like You proactively identify and solve problems before they happen The team operates smoothly, with minimized last-minute fire drills Data is accurate, trusted, and used to drive decisions Stakeholders rely on you as the source of truth for what’s possible across our delivery teams You confidently push back when needed and help the business make better decisions Who You Are A highly organized, systems-minded operator who thrives in fast-paced environments Comfortable with ambiguity, shifting priorities, and real-time problem solving A strong communicator who can manage up, across, and down Confident in navigating conflict and making tough prioritization calls Detail-oriented, but not afraid to zoom out and think strategically Someone who takes full ownership Qualifications 7+ years of experience in resource management, operations, or project management within a creative, marketing, or agency environment Strong understanding of creative production workflows and performance marketing environments Experience managing capacity planning and utilization tracking Proven experience working with freelancers (sourcing, negotiating, managing) Ability to interpret data and translate it into actionable insights Experience working cross-functionally with PMs, creative teams, and leadership Compensation Competitive salary (based on experience) Healthcare 401k Unlimited PTO
