[Remote] Senior Operations Associate, Office of the CEO

They are seeking a Senior Operations Associate to support the CEO's operational and administrative work, enhancing the CEO's capacity and focus through effective calendar management, communications support, and operational improvements.ResponsibilitiesOwn organizing Alexander's calendar by scheduling meetings with team members and external stakeholders, leading a calendar sync meeting with Alexander at the beginning of every week, and analyzing time allocation across key areasHelp triage Alexander's inbox and learn to write effectively in his voice, maintaining fast response times and building systems to track and route incoming asksHandle the full range of day-to-day administrative needs, including travel planning, expenses and reimbursements, external appointments, and executive office software (Airtable, Asana, Toggl)Coordinate with internal stakeholders to gather materials and information ahead of Alexander's meetings; write meeting agenda first drafts; track and execute follow-up action items; ensure that conferences, events, and in-person visits go smoothlyMaintain a comprehensive database of Alexander's professional contacts and proactively surface relevant meetings and events based on current priorities and travelIdentify administrative bottlenecks and develop solutions, including AI integration; own special projects that increase efficiency and strengthen internal knowledge managementSkillsU.S. work authorizationStrong interpersonal skillsAbility to communicate clearly, professionally, and effectively across a wide range of audiencesExperience in calendar and time managementExperience in inbox and communications managementExperience in general executive support including travel planning and expensesExperience in meeting and event coordinationExperience in contact and relationship managementExperience in operational improvement and identifying administrative bottlenecksResourcefulness and ability to make things work under constraintsAbility to prioritize quickly and act on action items promptlyExcitement about Coefficient Giving's mission and cause areasAbility to work in a responsive, agile way and pivot quickly when priorities shiftProactive and forward-thinking operational workCuriosity and proactivity about using AI tools and automationBased in the San Francisco Bay AreaWillingness to travel to the Bay Area at least once a quarterBenefitsExcellent health insurance (we cover 100% of premiums within the U.S. for you and any eligible dependents) and an employer-funded Health Reimbursement Arrangement for certain other personalhealth expenses.Dental, vision, and life insurance for you and your family.Four weeks of PTO recommended per year.Four months of fully paid family leave.A generous and flexible expense policy — we encourage staff to expense the ergonomic equipment, software, and other services that they need to stay healthy and productive.
