The role involves supporting the full recruiting lifecycle, including scheduling interviews, managing candidate communication, and ensuring preboarding compliance.ResponsibilitiesSchedule candidate interviews and maintain the interview tracker with up-to-date status informationParticipate in weekly recruiting callsMonitor and manage the recruiting team inbox, responding to inquiries from candidates and internal stakeholders in a timely mannerMonitor the Mosaic Health LinkedIn inbox and respond to incoming messages dailyConduct final review and audit of candidate profiles and offer details prior to hireInitiate background check orders and send candidate Welcome EmailsAdd new hires to the Onboarding Tracker and advance the Workday step to Ready for HireEnsure new hires complete all preboarding requirements by established deadlines, including background check, drug screen, employee health requirements, and credentialing requirementsMonitor background check and drug screen processes in First Advantage; proactively follow up with candidates to ensure timely submission of required documentsFollow up with candidates to resolve discrepancies in employment and education historyManage negative dilute or positive drug screen results per established protocols, including reordering as requiredRespond to candidate questions regarding background check status and processNotify candidates promptly upon clearance of background check and drug screenExecute pre-adverse action process when applicableAdjudicate discrepancies within First AdvantageSupport First Advantage integration with Workday, including user testing, process discussions, and matrix updatesCollaborate closely with Employee Health, Credentialing, HR Operations, and IT to ensure readiness for new hire start datesMonitor the new hire group Slack channel; answer questions, troubleshoot issues, and escalate when necessaryServe as a responsive point of contact for new hire inquiries throughout the preboarding periodCoordinate logistics for career fairs, recruiting events, and professional conferences, including registration, travel arrangements, and materials preparationMaintain an event calendar and ensure recruiting team members are prepared in advance of each eventOrder, track, and organize recruiting materials, branded swag, and promotional items for eventsCollect and enter candidate leads and resumes gathered at events into the applicant tracking system in a timely mannerContribute to recruiting and HR projects as assignedIdentify opportunities for process improvement and share recommendations with the teamSkills1β2+ years of experience in a recruiting coordination, HR support, or administrative roleStrong organizational skills with the ability to manage multiple priorities and deadlines simultaneouslyExcellent written and verbal communication skillsHigh attention to detail and commitment to accuracyProficiency with Microsoft Office Suite and comfort learning new systemsExperience with Workday or similar HRIS/ATS platformsFamiliarity with background check platforms such as First AdvantageExperience in a healthcare or high-volume recruiting environmentComfort working in Slack and other collaborative toolsCompany OverviewVera Whole Health is a healthcare center that specializes in offering primary care services.
