Remote Office Assistant

Overview:
Pool Scouts of Southern MD and Annapolis is seeking a dedicated and organized Remote Office Assistant to support the Office Manager. This role is essential in ensuring smooth operations and providing excellent service to our customers. The ideal candidate will excel in customer service, sales, and quality assurance, while efficiently managing jobs, routes, and customer interactions.
Key Responsibilities:
Ā Customer Service:
Ā Serve as the primary point of contact for customers, addressing inquiries and resolving issues promptly.
Ā Follow up with new and existing customers to ensure satisfaction and address any concerns.
Ā Sales:
Ā Book new customers and handle incoming sales inquiries.
Ā Provide quotes and estimates from various pool suppliers (SCP, Leslie's, and local vendors) to the General Manager (GM).
Ā Quality Assurance:
Ā Ensure all necessary pictures and comments from pool technicians are uploaded to Serviceminder.IO.
Ā Follow up with customers to verify service quality and satisfaction.
Ā Job and Route Management:
Ā Manage jobs, routes, and schedules to optimize efficiency and productivity.
Ā Ensure route optimization for technician assignments.
Ā Communication:
Ā Act as a liaison between the GM, pool technicians, and affiliate partners.
Ā Send technician work schedules for the week.
Ā Administrative Duties:
Ā Invoice customers and collect payments via Serviceminder.io.
Ā Maintain accurate records and ensure timely updates in the system.
Requirements:
Ā Proven experience in customer service and sales roles.
Ā Strong organizational and multitasking skills.
Ā Excellent communication skills, both written and verbal.
Ā Proficiency in using Serviceminder.io or similar software.
Ā Ability to work independently and remotely.
Ā Familiarity with the pool industry is a plus.
