The Marketing Project Associate role focuses on ensuring that marketing work moves quickly, accurately, and predictably from intake to launch, coordinating tasks and maintaining visibility into creative development and execution readiness.ResponsibilitiesSupport intake and execution of marketing requests once priorities are confirmedCoordinate marketing-related tasks across campaigns, events, and cross-functional initiativesBuild and maintain task lists, timelines, calendars, and delivery boards to ensure real-time visibilityTrack dependencies across creative, messaging, and channel executionProactively follow up on action items to keep work moving quickly and predictablyEnsure deliverables are complete, accurate, and ready for launchFlag duplicate or overlapping work to prevent rework and wasted effortEscalate blockers and readiness gaps with context and recommendationsPause or return work that is not execution-ready due to unclear goals, missing inputs, or undefined success metricsPerform detailed QA on emails, landing pages, ads, and other marketing assetsValidate links, copy accuracy, formatting, approvals, and handoffsIdentify missing inputs, unclear messaging, asset gaps, or execution risks earlyAct as an early warning system for launch risk by maintaining close proximity to creative and channel-level detailsConfirm all requirements, approvals, and dependencies are fully met prior to launchServe as a key coordination point between Marketing, Creative, Development, and other departmentsSchedule and support kickoffs and recurring check-ins as neededProvide clear, concise status updates to marketing stakeholdersCoordinate handoffs between creatives, marketers, and channel ownersEscalate execution risks promptly to the Manager of Digital MarketingMaintain clean, accurate, and current project documentationOwn and maintain the execution workflows the Marketing team relies on (intake, reviews, approvals, handoffs, launches)Identify inefficient, unclear, or broken processes that create bottlenecks or reworkPropose and implement execution-focused improvements to increase speed, clarity, and predictabilityTest, document, and roll out updated workflows in partnership with Marketing leadershipSimplify or retire processes that no longer serve the team’s needsSkills2-5 years of experience in marketing operations, or execution support rolesStrong attention to detail and organizational skillsProven ability to manage multiple tasks simultaneouslyComfort working with clear priorities and deadlinesExperience with project tracking tools (ClickUp, Asana, Monday, etc.)Company OverviewHighLevel is a marketing and advertising platform that captures message leads via voicemail, SMS, emails, FB messenger, and more.
