We are seeking a Patient Scheduling Coordinator to support a U.S.-based home care provider by matching caregivers to clients based on their needs. This role is fast-paced and requires someone who can juggle multiple systems, communicate clearly, and take ownership of getting schedules filled efficiently. This role forms part of a collaborative and team-driven environment where individuals are expected to step in, assist, and ensure that all scheduling needs are met. PLEASE NOTE β€’ Working Hours: Monday – Friday | 8:30 AM – 5:00 PM EST (14:30 PM – 23:00 PM South African time – subject to daylight savings). β€’ Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA). β€’ Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered. β€’ Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered. β€’ Work Environment: Fully remote Key Responsibilities: β€’ Schedule caregivers for clients based on specific needs and requirements β€’ Engage with clients to understand their care needs and preferences β€’ Coordinate across multiple communication channels (calls, WhatsApp, internal systems) β€’ Manage and update scheduling systems accurately and in real-time β€’ Handle scheduling challenges and last-minute changes with urgency β€’ Collaborate with team members to ensure all shifts are filled β€’ Escalate issues or request support when needed Requirements: β€’ Strong customer service experience β€’ Ability to multitask across multiple systems simultaneously β€’ Excellent verbal and written communication skills (English) β€’ Comfortable working in a fast-paced, high-pressure environment β€’ Strong sense of accountability and willingness to step in where needed β€’ Highly organized with strong attention to detail Advantageous (not required): β€’ Experience working in a medical practice, doctor’s office, or healthcare environment β€’ Background in appointment scheduling, theatre bookings, or practice coordination β€’ Previous management or supervisory experience Ideal Candidate Profile: β€’ Mature, stable, and dependable with strong day-to-day discipline β€’ Resilient and able to handle a demanding, sometimes thankless role β€’ Proactive, hands-on, and willing to go the extra mile to get the job done β€’ Confident communicator who is comfortable asking for help when needed β€’ Able to take constructive feedback and adapt quickly β€’ Team player with a strong work ethic and sense of ownership If you are not contacted within 14 working days, please consider your application unsuccessful.
