Key Responsibilities
Ā Support the Director of Business Operations with dedicated assistance.
Ā Assist various clients with their administrative and executive tasks.
Ā Foster positive client relationships and streamline internal processes.
Ā Act as a liaison between clients' management teams and internal teams on various projects.
Ā Plan and execute tasks that align with clients' priorities and organizational goals.
Daily And Monthly Duties
Ā Manage both professional and personal tasks for multiple clients.
Ā Track detailed records using a timekeeping system.
Ā Coordinate complex schedules and manage extensive calendar arrangements.
Ā Organize travel logistics, including booking hotels, transportation, and meals.
Ā Perform administrative tasks such as typing, dictation, spreadsheet creation, faxing, and maintaining filing systems and contact databases.
Ā Maintain professionalism and confidentiality in all interactions.
Ā Handle client communications, answer phone calls, and relay messages.
Ā Plan and coordinate client events.
Ā Respond promptly to requests, ideally within 4 business hours.
Ā Navigate competing priorities and multitask effectively.
Ā Complete additional tasks as needed.
Skills And Qualifications
Ā Minimum of 4 years of experience in an administrative role supporting senior management.
Ā Proficiency in Salesforce.
Ā Excellent written and verbal communication skills.
Ā Strong time-management and organizational abilities.
Ā Proficient in Microsoft Office and familiar with other office productivity tools; quick learner of new software and systems.
Ā Flexible team player who thrives in challenging situations.
Ā Ability to maintain confidentiality and handle sensitive information.
Ā Motivated self-starter with a professional phone demeanor.
Ā Availability for urgent requests as required.
Preferred Qualifications
Ā Experience in developing internal processes and filing systems.
Ā Associate's degree or higher in administration or equivalent experience.
Ā Knowledge of CRM systems such as Active Campaign, Zoho, Pipedrive, etc.

Ā Monday to Friday
