Responsibilities
Ā• Support Leadership: Assist the Director of Business Operations and provide support to various clients as needed.
Ā• Client Relations: Maintain positive client interactions and streamline internal processes to enhance service delivery.
Ā• Communication Management: Coordinate communication between clients' upper management and employees, managing interactions with both internal and external executives.
Ā• Organizational Excellence: Plan and manage tasks aligning with client priorities, organizational goals, and best practices.

Daily and Monthly Tasks (varying based on client needs)
Ā• Handle both professional and personal needs for clients.
Ā• Maintain detailed records using our timekeeping system.
Ā• Coordinate complex scheduling and manage extensive calendars, including the flow of information to clients' senior executives.
Ā• Arrange travel and related activities for clients, including hotel bookings, transportation, and meal planning.
Ā• Perform administrative tasks such as typing, dictation, creating spreadsheets, faxing, and maintaining filing systems.
Ā• Uphold professionalism and confidentiality in all client interactions.
Ā• Organize client communications, answer phones, and relay messages.
Ā• Plan and coordinate client events.
Ā• Respond to requests within 4 business hours.
Ā• Prioritize tasks effectively while managing multiple responsibilities.

Required Skills And Experience
Ā• Experience: 4 years in an administrative role supporting senior management.
Ā• Communication: Excellent written and verbal communication skills.
Ā• Time-Management: Strong time-management and organizational skills.
Ā• Technical Proficiency: Experienced with Microsoft Office and other productivity tools; ability to quickly learn new software.
Ā• Attributes: Flexible team player, motivated self-starter, and capable of handling confidential information with discretion.
Ā• Communication: Confident and professional phone presence, with prompt response to urgent requests.

Preferred Qualifications
Ā• Experience in developing internal processes and filing systems.
Ā• Associate's degree or higher in administration, or equivalent experience.
Ā• Familiarity with CRM systems like Active Campaign, Zoho, Pipedrive, etc.

Schedule
Ā• Days: Monday to Friday
Ā• Hours: 10-20 hours per week with potential for growth
