Giro & Associates LLC is a veteran owned law firm seeking a Firm Administrator to oversee day-to-day operations, allowing attorneys to focus on client service and legal work. This non-attorney leadership role involves managing staff, finances, systems, and resources while working closely with partners. Office: 1060 Main St., Suite #303, River Edge, NJ 07661. Work schedule: 9:30 a.m. to 6:00 p.m. EST, Monday through Friday, with on-site presence during core hours except approved remote days.Position Overview The Firm Administrator handles overall business operations, including HR, finance, office management, and technology in a small-firm setting. The role demands versatility, initiative, and hands-on execution alongside strategic planning. Key Responsibilities β€’ Operations and Office Management β€’ Manage daily office functions, workflows, calendaring, and administrative processes. β€’ Handle supplies, equipment, and vendors (IT, phone, copier, software). β€’ Refine procedures for file management, matter intake, conflict checks, and document organization.​ β€’ Finance, Billing, and Reporting β€’ Coordinate budgets, cash flow, trust accounting, payables, and receivables with partners and bookkeeper. β€’ Oversee timekeeping, billing, and collections for timely invoices. β€’ Generate operational and financial reports highlighting trends and efficiencies.​ β€’ Human Resources and Staffing β€’ Recruit, onboard, and train non-attorney staff; align with partners on needs. β€’ Manage personnel files, benefits coordination, time-off, and performance reviews. β€’ Foster a professional, client-focused culture.​ β€’ Technology and Process Improvement β€’ Coordinate practice management, billing, and document systems with vendors. β€’ Document and optimize workflows (intake, billing, deadlines). β€’ Evaluate tools for efficiency, communication, and security.​ β€’ Compliance and Risk Management β€’ Support confidentiality, records retention, and trust accounting compliance. β€’ Manage insurance renewals and firm licenses. β€’ Ensure policies are documented and followed.​ Qualifications β€’ Experience: 5+ years in law firm or professional services, with 2+ years in operations/administration; small firm experience preferred.​ β€’ Skills: Leadership, financial basics, office software proficiency (Microsoft 365, practice management); organizational and communication strengths.​ β€’ Education: MBA, Bachelor’s in business, management, or related preferred; experience may substitute.​ Reporting and Compensation Reports to partners; supervises non-attorney staff.
