Finance Operations Assistant / Accounts Payables
About Deep Sky Deep Sky is pioneering the development of Direct Air Capture technology and projects in Canada, focusing on removing CO₂ directly from the atmosphere to help address climate change. We're building one of the world's first large-scale carbon removal facilities and are actively developing multiple large-scale commercial projects across Canada. Position Overview We’re looking for a reliable and detail-oriented freelance professional to support our Finance team with day-to-day accounts payable, expense management, and financial admin tasks.You’ll play a key role in ensuring timely payments, clean data, and smooth coordination across departments. This is a part-time, flexible role—ideal for someone who is comfortable working independently, communicates clearly, and thrives in a remote-first environment. You’ll be joining a small but structured finance team led by a VP of Finance & Operations, with established systems and workflows already in place. Key Responsibilities Accounts Payable & Vendor Coordination - Monitor the Accounts Payables email inbox - Communicate with vendors regarding missing information, invoice/payment status, and other inquiries - Process invoices through our bill processing system, ensuring correct approvals - Match invoices with purchase orders (POs) - Prepare vendor payments based on payment terms and internal policies - Follow up with department heads for invoice approvals and other unresolved issues Expense & Credit Card Management - Categorize corporate credit card transactions - Follow up with employees to collect missing receipts via the expense management app - Process employee reimbursement claims Documentation & Support - Assist in gathering invoice copies and supporting documentation for grant claims, audits, or internal reporting - Participate in basic bookkeeping and financial data management tasks Candidate Profile - At least 2 years of experience with Canadian or U.S.accounts payable, bookkeeping, or finance operations - Consistently available across the week to handle time-sensitive tasks (not limited to dedicated days) - Reliable, organized, and detail-oriented - Strong written communication skills and ability to work independently - Comfortable working asynchronously in a remote environment - Proactive mindset, with a genuine interest in improving workflows through automation and AI tools - Experience with QuickBooks Online, Float or Ramp, Gmail, and Slack is a plus - Proficient in English (spoken and written); French is a strong asset but not required LocationThis role is open to candidates anywhere in the world, with a preference for a location near one of our offices in Montréal, Calgary, Toronto, Los Angeles, or New York City.While we are open to fully remote candidates, there may be opportunities for hybrid work in these cities, so proximity is a plus—but finding the right fit is our top priority.
