Job Overview
The Customer Service Sample Representative will play a vital role in ensuring excellent customer service, receiving and processing laboratory samples, and coordinating customer pickups. This position requires a strong focus on customer satisfaction, attention to detail, and the ability to work effectively in a team environment. As a key member of our laboratory operations team, you will be responsible for maintaining accurate records, performing administrative tasks, and providing support to our clients and internal stakeholders.

Key Responsibilities

Greet visitors, ascertain the nature of their business, and escort them to the appropriate personnel, providing a positive and professional first impression of arenaflex.
Answer telephone calls, provide information to callers, and route calls to the appropriate personnel, ensuring prompt and effective communication.
Receive and secure all incoming laboratory samples, including those mailed or collected through courier services or customer drop-off, and enter relevant information into the LIMS system.
Maintain contact with customers and work closely with the laboratory team to ensure effective communication and issue resolution.
Receive and disseminate all inbound laboratory supplies to applicable laboratory departments, ensuring timely and efficient distribution.
Perform 100% proof checks on daily paperwork to ensure ISO compliance and maintain accurate records.
Support the laboratory team by creating purchase orders and placing orders for laboratory supplies, as well as coordinating and communicating customer courier stops and pick-ups.
Provide administrative and clerical support, including filing, database entry, and customer certificate preparation, to ensure the smooth operation of laboratory activities.
Assist in other assigned duties as needed, demonstrating flexibility and a willingness to adapt to changing priorities and requirements.


Requirements and Qualifications
To be successful in this role, you will possess a high school diploma or GED, with an AA degree in Business Administration, Marketing, Biology, or Chemistry preferred. You will be a people person, with a strong focus on customer service and a proven ability to work effectively in a team environment. Additional requirements include:

Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
Proficiency in MS Office, including Word, Excel, and Outlook, with the ability to learn and adapt to new software systems.
Excellent communication and interpersonal skills, with the ability to interact effectively with clients, colleagues, and other stakeholders.
Flexibility in schedule, with availability to work afternoons (1pm-7pm) and weekends as needed, to support the department's needs and ensure seamless operations.
