About the position The Executive Assistant and Project Coordinator at Harvard University will provide high-level administrative and project support to the Senior Director of Academic-Corporate Initiatives and the Senior Director of Compliance for Strategic Initiatives. This role is crucial for ensuring smooth operations of academic-corporate partnerships and involves managing calendars, scheduling meetings, and supporting various projects that align with the university's strategic goals. Responsibilities • Provide general administrative support for the Senior Director of Academic-Corporate Initiatives and the Senior Director of Compliance for Strategic Initiatives. • Manage calendars, plan, schedule, and prepare materials for meetings. • Schedule and book travel arrangements as needed. • Compose and distribute meeting minutes and coordinate office events/meetings. • Maintain office supplies and coordinate IT/space needs. • Process invoices and expense reports. • Support the development and promotion of pilot programs that foster connections between faculty-led research and corporate entities. • Conduct research and analysis, preparing presentations, reports, briefings, and memos. • Coordinate and staff university-wide committees and meetings with external partners. • Maintain and organize electronic files and materials for various projects. Requirements • Minimum 5 years of related experience. • Excellent writing skills and polished verbal communication. • Ability to support projects with a high degree of coordination. • Capability to understand the complexity of a comprehensive, research-intensive organizational context. • Ability to take direction and proceed with tasks with minimal oversight.
