The Cosmetic Patient Concierge Coordinator is responsible for delivering consistently superior customer service to patients and clients by providing appointment and procedure information and education, assisting with Care Credit applications, Brilliant Distinctions, Aspire Rewards, Lasting Beauty Rewards, Global and Site specific promotions, and other patient loyalty programs offered by AAD.

The Cosmetic Patient Concierge Coordinator will act as an experience and patient advocate specialist, and ensure the patients/clients feel welcomed, valued, and appreciated throughout their cosmetic journey and repeated visits. A proven track record of world-class customer service and a compassionate, ‘can-do’ personality is required for success in this position. Proper attention to detail and customer focus/empathy are essential to achieve the required levels of Client and Patient satisfaction. This level of patient service is to be executed daily through interpersonal team member interactions, patient in-office interactions, vendor interactions, and also via phone & email correspondences.

Responsibilities

Duties/Responsibilities:
• Supervise the front desk Check-in and Check-out process.
• Update client information and provide necessary forms for completion.
• Create client profiles in the EMR system following established protocols.
• Reconcile daily charges and handle cash, check, and bankcard payments.
• Ensure exceptional satisfaction of every patient by consistently delivering respectful and personalized care, respecting patient privacy, and providing an elevated experience.
• Take responsibility for enrolling patients in rewards programs, credit applications, discounts, and loyalty programs.
• Assist with handling inbound calls and scheduling patient appointments.
• Make outbound calls to patients to assist with preparations for upcoming appointments, events, and promotions.
• Escalate any unresolved patient issues to the Cosmetic Suite Manager and collaborate with management to achieve satisfactory and meaningful resolutions.
• Complete inventory monthly.
• Keep displays and other marketing material current, trendy and fresh
• Establish a connection with cosmetic reps, helps with education opportunities and sample supplies.
• Occasionally work evenings during special promotions and events as required.
• Other duties assigned as deemed necessary by management.

Qualifications

Required Skills/Abilities:

• Proficiency in technology

Licensure/Certifications/Education

Education and Experience:
• Minimum of High School Diploma.

Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift 15 pounds at times.
