Client Onboarding Associate
HB Wealth is a national, independent wealth management firm, seeking two Client Onboarding Associates to enhance the new client onboarding experience. The role involves managing the onboarding process, coordinating with various teams, and ensuring compliance while providing superior service to clients.ResponsibilitiesAct as the project manager for all operational and administrative aspects of the client onboarding process, including engagement documents, account opening, portfolio setup, and recurring process trackingClearly communicate onboarding timelines and expectations, and proactively follow up with Advisors, Compliance, Operations, and custodians to ensure onboarding stays on trackPrepare and process custodian paperwork such as account opening, letters of authorization and other operational documents, guiding them through review and approval workflowsCoordinate with internal teams, custodians, and clients to ensure a timely and efficient transition; independently research and resolve onboarding-related issuesServe as a subject-matter resource for onboarding procedures, systems, and guidelinesCommunicate business needs clearly to internal and external stakeholders and assist in driving requests through various workflows and systemsUpdate and verify client, account, and transaction details; maintain accurate records within CRM and document management systemsEnsure compliance with firm operating, cybersecurity, risk, and regulatory policies while safeguarding client informationSeek to understand the needs of our clients, provide superior services to meet those needs and to earn their trust, respect, and confidenceSupport the onboarding team with special projects and initiatives as neededCommitment to meeting established deadlines and managing time effectivelySkills1–3 years of experience in a client service or onboarding role within the financial services industryFamiliarity with custodians such as Charles Schwab, Fidelity, and PershingStrong project management, organizational, and time-management skillsSelf-starter with initiative, confidence and exceptional attention to detail who can balance multiple projects and demands in a fast-paced, dynamic, and entrepreneurial environmentExceptional written and verbal communication skillsPositive attitude and strong work ethicHigh level of professionalism, confidentiality, and fiduciary mindsetStrong interpersonal skills with the ability to partner effectively in a team and earn the trust and confidence of colleaguesWillingness to 'pitch in' when necessaryStrong analytical and problem-solving skillsProficiency with Microsoft Office Suite, CRM systems, and portfolio reporting softwareAssociate degree or equivalent client service experience; bachelor's degree preferredAbility to successfully pass criminal background / credit check requiredBachelor's degree preferredBenefitsCompetitive PTO/Holiday policy401k match1st day eligible benefits offering; medical, dental, vision, telemed, disability, + Paid Maternity/Paternity leaveFun and welcoming office environment with monthly and quarterly eventsAbility to work remotely20% Cell phone stipendEPPCompany OverviewFounded in 1989, HB Wealth is a national independent wealth management firm providing fiduciary, fee-only wealth advisory services, investment management, and family office services.
