The Administrative Associate role involves providing data, systems, and administrative support across the organization, including maintaining Salesforce records and organizing internal systems.ResponsibilitiesEnter, update, and maintain records in Salesforce, including contacts, opportunities, campaigns, and reports, following established processesUpload partner lists and other data from spreadsheets into Salesforce as directedSupport routine data clean-up efforts, including identifying duplicate records, updating contact information, and maintaining consistent naming conventionsAssist with running and reviewing reports to support internal tracking and planningSupport implementation of recommendations from Salesforce consultants, including attending meetings and completing assigned follow-up tasksPull recurring reports related to partner engagement, donor activity, and organizational metricsAssist with preparing quarterly and board-related reports by compiling requested dataSupport basic data organization and formatting for internal summaries and presentationsBuild and send emails using established templates and support ongoing mailing list maintenanceUpdate media lists and pull coverage reports as directedPost publications and press releases to the website in accordance with established proceduresSupport slide deck formatting and uploading of digital content as assignedAssist with tracking legislative contacts, hearings, funder deadlines, and renewal timelinesConduct background research on prospective partners, donors, and funders as assigned, and compile findings for team useSupport audits of internal systems, including login records, and grant deadlinesMaintain and organize digital files and support periodic file clean-up and documentation projectsProvide data entry support for grant tracking systems as assignedComplete scanning and digitization projects and other administrative tasks as directedParticipate in internal equity-focused efforts and professional development activities, applying learnings to strengthen team collaboration and internal communications practicesEngage in and contribute to the Budget Center’s race and gender equity efforts by supporting accurate, inclusive, and well-maintained data and systemsContribute and provide support to organizational initiatives such as Policy Insights, other events hosted by the organization, and internal staff events, as assignedSkillsExperience working with Salesforce or a similar CRM system requiredExperience providing administrative, data entry, or systems support in a team setting requiredExperience organizing and maintaining spreadsheets and digital filesStrong commitment to the mission and values of the Budget Center, including advancing social, economic, and racial equity, with an interest in supporting research, data, and administrative systems that contribute to improved outcomes for historically marginalized communitiesInterest in nonprofit operations, data management, communications support, or administrative coordinationHighly detail-oriented with strong organizational skills and the ability to follow established processes accuratelyComfortable receiving direction, asking clarifying questions, and completing tasks independently once trainedAbility to manage multiple assignments and meet deadlines in a structured, team-based environmentClear and professional written communication skills for internal coordination and basic external supportAbility and willingness to learn new systems and software platforms with training and supportBenefitsExcellent health insurance and dental and vision coverage (100% coverage of premiums for the employee; 90% coverage of premiums for dependents)Retirement benefits include a 403b plan and an annual SEP-IRA retirement contribution of at least 5% of salary (most recently set at 10% of salary); participation in the 403b plan is not required to receive an employer retirement contributionAnnual paid leave benefits include: 12 vacation days, 12 sick days, 11 holidays, 4 personal daysYearly evaluation of additional time off benefits during summer (half-day Fridays) and winter (late December office closure)Flexible work arrangements that support alternative schedules and both in-person and remote work16 weeks of family leave for parents or caregiversFSAs for health, childcare, and transportation costsAnnual stipends to cover home office, transportation, and well-being expensesAnnual allocations for professional developmentCompany OverviewThe California Budget & Policy Center is an organization devoted to timely, credible analysis of key policy issues facing California.
