Administrative Assistant II, Cognitive Neurology

The Administrative Assistant II will support the Cognitive Neurology Department by providing essential administrative support to physicians and managing patient interactions and records.ResponsibilitiesAnswers and screens telephone callsTakes accurate messages or directs call to appropriate personGreets and directs patients, families, visitors and staffResponds to requests in a timely manner and provides clear, accurate information within scope of knowledge and authorityUpdates patient demographic and insurance information as necessary and obtains specialist referrals for all patient appointmentsSchedules patient appointments utilizing scheduling tools and resourcesCoordinates and communicates ancillary appointments and procedures working with other hospital staff as neededObtains patient information and materials as needed from referral sourcesPrepares patient records for clinical activities and maintains patient records for physiciansActs as liaison with other departments and external customers in a calm and supportive mannerHandles confidential information appropriately and explains policies and procedures when necessaryCollects co-payments from patients at point-of-serviceCoordinates billing tickets for office visits and services following established proceduresForwards all billing fee tickets according to protocol to billing staffReconciles collections at the end of the business day per established protocolMaintains physicians' clinical and administrative schedules and calendarsTypes correspondence, manuscripts and/or others documentsTranscribes letters and patient notes as needed for physicians and facilitates in clinical computer systemsPrepares and distributes routine reportsNotifies, confirms, and reminds patients of scheduled appointments such as consultation, follow up, or simulation via letters or phone callsObtains authorization for radiologic exams as neededSorts, copies, files and distributes all incoming and outgoing correspondence and mail to the appropriate parties in absence of AAIParticipates in and is responsible for special projects and process improvement initiatives as requestedSkillsHigh School diploma or GED required1-3 years related work experience requiredExperience with computer systems required, including web based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or AccessAssociate's degree preferredHealthcare experienceCompany OverviewBeth Israel Lahey Health Center offers patient care, urgent care, assisted living, and research and education services.
