Zoho One Systems Consultant (CRM, Projects, QuickBooks Integration)

Overview: We are looking for an experienced Zoho One consultant or business systems analyst to help streamline and optimize our internal workflows across Zoho CRM, Zoho Projects, Zoho Sign, Zoho Writer, WorkDrive, and QuickBooks. Our current system is functional but not seamless, we are looking for someone who can evaluate how we operate as a business and redesign our systems to improve efficiency, reduce manual work, and create a more connected workflow from sales through project delivery and invoicing. What We Need Help With: We are not looking for basic setup, we need someone who can think strategically about how our business runs. Key focus areas include: Mapping our full workflow: Lead → Proposal → Approval → Project → Fabrication → Invoice → Payment Identifying gaps, redundancies, and manual processes Improving handoffs between: Zoho CRM → Zoho Projects Zoho Sign → Project kickoff Project completion → QuickBooks invoicing Standardizing document workflows (proposals, approvals, fabrication sign-offs) Creating automation where appropriate Improving visibility into: Project status Billing status Payment tracking Commission tracking QuickBooks Integration (High Priority): A major part of this role will be helping us connect Zoho with QuickBooks to eliminate duplicate entry and improve financial visibility. We are looking to: Automatically generate invoices from Zoho (based on deal stage or project milestones) Sync invoice and payment status back into Zoho CRM and/or Projects Improve visibility into: What has been invoiced What has been paid What is outstanding Support better reporting for leadership and sales Lay the groundwork for commission tracking based on payments Ideal Candidate: We are not looking for a developer, we are looking for someone who understands how businesses operate and can design systems around that. We are looking for someone who: Has deep experience with Zoho One (not just CRM) Has experience integrating Zoho with QuickBooks (or similar accounting tools) Thinks in terms of business processes, not just software setup Can identify inefficiencies and propose better workflows Has experience with: Zoho CRM Zoho Projects Zoho Sign Zoho Writer WorkDrive APIs / integrations (preferred) Important: We are not looking for someone who only: Adds fields Builds forms Does surface-level setup We need someone who can step back, understand how we operate, and design a system that supports it. Project Scope: Initial engagement would include: System review + workflow mapping Identification of gaps and recommendations Implementation of key improvements QuickBooks integration strategy and setup Ongoing support may be considered based on fit.
