Zapier & AI Automation Specialist (U.S.-Based | Systems Review + Full Workflow Automation)
About the Role: We’re looking for a Zapier & AI Automation Specialist to review our current tech stack and build automated workflows that eliminate manual tasks across our systems. We want everything automated — payments, onboarding, Zoom meetings, client workflows, internal communication, and even call notes. Our tools include: ChargeOver – payments Asana – project management Slack - team communication Google Sheets / Google Workspace Zapier - automation Zoom – meetings & scheduling Fireflies.ai – call notes & transcripts We need someone who can quickly analyze our processes, build reliable automations, and create smart AI workflows that save hours across the company. Responsibilities: Review current systems and recommend automation improvements Build advanced automations using Zapier + AI tools Automate onboarding when a client submits payment: Payment → Slack notification Automatic welcome email Auto-update spreadsheets Trigger onboarding tasks in Asana Automate call notes - Every time a Zoom meeting happens, Fireflies.ai notes must automatically populate into a Google Sheet Integrate ChargeOver, Slack, Asana, Zoom, Fireflies, Sheets, and email Improve and clean up old Zaps Build workflow documentation for sustainable scaling Requirements: Must be U.S.-based Advanced Zapier experience (webhooks, APIs, filters, paths) Experience automating: Zoom Fireflies.ai Google Sheets Slack Asana Payment systems (ChargeOver preferred) Strong background in building AI-driven workflows Able to troubleshoot, optimize, and rebuild broken automations Apply tot his job
