Virtual Assistant/Paralegal

The Position

Jean-Louis Law, a virtual business & entertainment law firm, is seeking a highly organized and efficient virtual assistant and paralegal to support its legal team in day-to-day administrative, legal, and business development tasks. The ideal candidate will be proactive, detail-oriented, and a problem solver, and possess excellent communication skills, a desire to understand... trademark and contract law, strong research skills. The successful candidate will be adept at managing multiple responsibilities in a virtual work environment. This is a fully remote position.

Responsibilities and Duties, include but not limited to:
• Provide administrative support to the team remotely
• Perform clerical tasks such as organizing electronic files, managing emails, and scheduling appointments
• Utilize electronic document management systems to maintain and update important files and documents
• Assist with project management tasks, including coordinating deadlines and tracking progress
• Conduct data entry and maintain accurate records of information
• Interact daily with prospective clients, current clients, and attorneys via electronic means
• Manage prospective client intake process (including onboarding)
• Proofread documents for errors and ensure they adhere to company standards
• Conduct online research for legal and general information
• Communicate with current clients about matters and billing
• Assist firm's marketing activities, including social media management
• Create copy for and scheduling of posts on firm's social media platforms
• Manage firm's social media platforms, including responding to mentions and comments on firm's social media platforms, responding in a timely manner
• Assist in preparing and filing trademark applications with the USPTO and other authorities
• Maintain firm's trademark docket
• Proofread and format legal documents (ex. contracts)
• Prioritize tasks effectively and meet deadlines
• Provide support to firm in various administrative tasks and legal matters as needed

Requirements
• Proven experience as a virtual assistant or in a similar administrative role
• Proficient in using Dropbox and other document management systems
• Excellent organizational, problem solving, and time management skills
• Excellent written and verbal communication skills
• In cover letter, state who is your favorite actor
• Familiarity with project management tools and techniques
• Attention to detail and ability to multitask effectively
• Knowledge of trademark process is a plus
• Strong ability to work independently and collaboratively in a virtual setting
• Strong ability to think critically and meet deadlines
• Must be resident of New York State
