Virtual Assistant to Project Manager – Full-Time | Long-Term | CST Hours - Contract to Hire
We are a growing full-service sign company based in Chicago, specializing in interior and exterior signage, awnings, canopies, printed signs, and sign permitting. As we expand, we’re seeking a dependable and energetic Virtual Assistant to support our Project Manager and help streamline operations.
This is a long-term, growth-oriented position with paid training, ideal for someone seeking stability and advancement in a professional and fast-paced environment. We understand there is a big time zone difference in some country's, NOTE: Must be able to work efficiently during graveyard sift and have high energy.
Position Overview:
You will work directly with our Project Manager, assisting with day-to-day tasks related to customer service, scheduling, CRM updates, and internal and external team coordination. This is an entity-level position designed to grow into a Project Manager role over time.
Key Responsibilities:
-Provide customer support via phone and email
-Handle inbound and outbound calls in a polite and professional manner
-Assist in scheduling, follow-ups, and task coordination
-Update client records and notes in our CRM system
-Support project tracking and communication between departments
-Learn the operational flow of signage production and permitting
Requirements:
-Must be available Monday–Friday during U.S. Central Standard Time business hours.
-Excellent English communication skills (spoken and written)
-Polite, upbeat, high-energy personality – professional tone with customers
-Tech-savvy: Familiarity with CRM systems, email, and basic business tools
-Strong organizational and multitasking skills
-Serious candidates only – looking for long-term employment and growth
-A reliable internet connection and a quiet, professional work environment
-Preferred (but not required):
Experience in customer service, admin support, or virtual assistant roles
-Familiarity with signage, construction, or permitting industries
Prior use of CRMs like HubSpot, Zoho, GHL or similar systems
