Virtual Assistant (Part-Time | Remote)
About the Role
LTD Scale is seeking a highly organized and proactive Virtual Assistant to provide administrative and operational support to a growing business. This role is ideal for someone who thrives in a structured environment, enjoys managing multiple priorities, and takes ownership of tasks from start to finish.
You'll play a key role in supporting daily operations, client communications, follow-ups, documentation, and process management while working closely with leadership and the broader team.
Schedule
Monday to Friday
Preferred Hours:9:00 AM – 12:00 PM Pacific Time Zone, or
9:00 AM – 1:00 PM Pacific Time Zone

Must be available to attend a weekly team meeting every Monday from 11:00 AM – 12:00 PM PST
Key Responsibilities
Provide general administrative support
Answer and manage inbound phone calls professionally
Monitor and respond to inquiries received through the company website's Contact Us page
Prepare and send invoices to clients
Send scopes of work, proposals, and contracts to prospective clients
Follow up with prospects after meetings and maintain communication pipelines
Utilize existing templates, workflows, and SOPs to ensure consistency
Support HR tracking and documentation through internal systems
Maintain accurate records and updates within company platforms
Assist with ongoing administrative projects and process improvement initiatives
Complete action items assigned during weekly team meetings
Learn new processes and take on additional responsibilities as the business grows
Qualifications
Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, or similar remote support role
Experience using Monday.com is required
Strong organizational and time management skills
Excellent follow-up and task management abilities
Ability to work independently with minimal supervision
Professional written and verbal communication skills
Comfortable managing multiple priorities and deadlines
Detail-oriented with strong problem-solving abilities

Process documentation and SOP implementation
