Urgent: Clean-Up Intake Specialist Needed for 62-Client Pipeline (Agency Preferred)
High-Priority Healthcare/Camp Intake Coordinator – 62-File Rescue & Long-Term Potential
Job Description:
• *Overview:**
Sunrise Academy is seeking an elite, highly organized, and urgent **Intake & Administrative Clean-Up Specialist** (Agencies strongly preferred) to immediately step in and take absolute dominion over a stalled client pipeline. We currently have 62 submitted client applications that need to be audited, processed, and successfully moved through our intake and scheduling system.
Our current administrative setup has failed to meet deliverables, leaving these families waiting. We need a powerhouse individual or agency team to come in, find the gaps, audit the records against our internal systems, and clear this bottleneck immediately.
• *This begins as an urgent, short-term clean-up project, but for the right fit, this will seamlessly transition into a permanent, long-term Administrative Operations/Virtual Assistant role for the academy.**
• *Immediate Scope of Work (The Clean-Up Phase):**
• **Pipeline Audit:** Cross-reference 62 incoming applications against our current roster to identify exactly where each file is stalled.
• **Medical & Insurance Verifications:** Proactively follow up on, track, and secure outstanding medical/insurance verifications for these files (no passive waiting for external parties).
• **Client Onboarding & Scheduling:** Coordinate directly with families to get them fully processed and placed onto our operational calendar according to our established protocols.
• **Data Integrity:** Audit our current Excel/system logs to build an accurate, clean, and transparent paper trail of completed vs. pending tasks.
• *What We Are Looking For:**
• **Agency Backing Preferred:** We are looking for an established agency or a seasoned freelancer with a proven track record of handling high-volume intakes with strict internal accountability. No hand-holding required.
• **Fierce Accountability & Execution:** You don’t make excuses when external parties don’t reply; you establish a proactive protocol to get the job done.
• **Medical/Insurance/Onboarding Experience:** Prior experience dealing with client intake pipelines, verification forms, or high-volume scheduling is a massive plus.
• **System Proficient:** Exceptional organization skills with standard data systems (Excel, CRM platforms, email communication tracking).
• *Rate & Incentives:**
• **Base Hourly Rate:** Competitive (dependent on experience/agency scale).
• ** Milestone Bonus:** To reflect the urgency of this project, **we are offering a dedicated bonus on top of the hourly rate** for the successful, swift, and clean processing of these 62 initial clients.
