Surplus Lines Coordinator

We're seeking a detail-oriented and client-focused Surplus Lines Coordinator to join our Implementation team. Reporting to the Implementation Team Lead, this role serves as a critical bridge between clients and InsCipher's Filing Services, Implementation, and Support teams. You'll be responsible for ensuring licensing updates, state credential management, and portal configurations are handled accurately and efficiently – reducing implementation delays, resolving client requests quickly, and freeing up higher-level team members to focus on strategic work.

Success in this role means clients receive proactive guidance and timely communication throughout their implementation and filing experience, internal teams spend less time troubleshooting licensing and portal issues, and our processes and documentation are strong enough to support the organization as we scale.

Key Responsibilities
Coordinate and process client license updates, including terminations, producer or entity additions, default changes, and legal entity transitions
Assess how licensing changes impact state reporting requirements and ensure InsCipher's proprietary tax filing portal is updated accurately
Guide clients through entity transitions and related system adjustments within the InsCipher Connect tax filing portal
Assist Filing Services clients and internal teams in obtaining state login credentials for newly licensed individuals, entities, or newly launched state portals
Conduct proactive client outreach to collect required state information, communicate upcoming requirement changes, and provide guidance before issues arise
Update client profiles in response to system releases, including e-filing updates and portal enhancements
Develop, maintain, and improve documentation, SOPs, and process standards that support organized project tracking, process consistency, and the organization's ability to scale Filing Services and Implementation efforts without sacrificing accuracy or compliance
Utilize CRM tools (Intercom) to respond to client inquiries and track communication history
Develop and maintain a strong working knowledge of InsCipher portal functions and workflow logic
Work independently and collaborate cross-functionally with Filing, Implementation, and Support teams to resolve licensing and portal issues efficiently – reducing escalations and freeing higher-level team members to focus on strategic work
Support onboarding and mentorship of future Surplus Lines Coordinators
Required to perform other duties as requested, directed, or assigned
Requirements and Qualifications
Bachelor's degree in Accounting, Business Administration, Finance or related field, or equivalent experience required
1+ years of experience in the insurance or surplus lines industry
2+ years of direct customer service experience
Demonstrated ability to manage multiple concurrent tasks and priorities effectively across a high-volume workload
Ability to create and maintain clear process documentation and SOPs
Strong organizational skills and attention to detail
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite

Compensation Range: $54k/yr - $60k/yr
