Service Coordinator - MIH

MIH Systems Group is a growing company in the evolving field of building commissioning, and we strive to make buildings work better. Specializing in the optimization of complex building systems, our team's diversified skill set provides value to our clients from the design stages of new construction all the way through operating existing buildings. Our consulting group provides a full array of commissioning services for both new and existing buildings, and our technical services group provides start-up services on complex HVAC equipment from a wide range of manufacturers. The MIH team consists of experienced industry-leading professionals, focused on logistical, energy and cost-effective solutions to our clients.
Role: Service Coordinator
We are seeking an entry-level HVAC Service Coordinator to join our team. This position supports the coordination of heating, ventilation, and air conditioning maintenance and installation projects while assisting with administrative duties related to HVAC operations.
Key Responsibilities

Schedule and coordinate routine HVAC maintenance, repairs, and installation appointments with technicians and clients
Maintain detailed records of all HVAC equipment, including maintenance histories, warranties, and service schedules
Process work orders and maintenance requests, ensuring proper prioritization and timely completion
Assist in managing inventory of HVAC parts and supplies, including ordering and tracking
Create and maintain preventive maintenance schedules for HVAC systems
Communicate with clients, contractors, and team members regarding project status and updates
Prepare basic reports on maintenance activities, equipment status, and project progress
Handle administrative tasks such as filing, data entry, and document management
Assist in coordinating emergency HVAC service calls as needed
Support the development and implementation of energy efficiency initiatives

Required Qualifications

High school diploma or equivalent required; Associate's degree in facilities management, construction management, or related field preferred
Basic understanding of HVAC systems and terminology
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational and time management skills
Excellent written and verbal communication abilities
Detail-oriented with good problem-solving skills
Ability to work independently and as part of a team

Preferred Qualifications

Prior experience in facilities management or construction coordination
Knowledge of building maintenance management software
Basic understanding of building codes and safety regulations
HVAC certification or related technical training
Experience with project scheduling and coordination

Physical Requirements

Ability to occasionally visit job sites
Capable of working in various environmental conditions
May require lifting up to 25 pounds occasionally
Must be able to climb stairs and ladders when necessary

Work Environment

Primary work location is in an office setting
Occasional site visits to inspect HVAC installations or maintenance work
Regular business hours with occasional overtime during peak seasons or emergencies
Some remote work possibilities may be available

Compensation: 70k-80k depending on skills, plus benefits
