The Scheduling Coordinator plays a vital role in managing and maintaining caregiver schedules to ensure clients receive consistent, high-quality care while acting as the primary point of contact for caregivers and clients regarding scheduling needs.ResponsibilitiesDevelop, maintain, and update caregiver schedules to ensure all client needs are metMatch caregivers with clients based on skills, experience, location, and client preferencesEnsure continuity of care by minimizing changes in caregiver assignments whenever possibleAdjust schedules promptly in response to call-offs, client changes, or emergenciesTrack caregiver availability, preferences, and restrictions in scheduling softwareAct as the main liaison for caregivers regarding schedules, shift confirmations, and changesCommunicate promptly with clients and families regarding any changes in caregiver schedulesProvide professional, courteous, and compassionate customer service to clients, families, and staffCollaborate closely with the team to ensure client care plans are fully supportedMaintain accurate and up-to-date schedules in agency systemsEnsure compliance with state, federal, and Visiting Angels policies regarding caregiver assignmentsDocument caregiver call-offs, tardiness, or availability changes for performance recordsAssist with timesheet and payroll verification by confirming shifts workedWork closely with recruiters and HR to understand caregiver staffing levels and availabilityProvide feedback to management regarding caregiver performance or recurring scheduling issuesParticipate in after-hours or on-call scheduling rotation, if requiredSkillsPrevious experience in scheduling, staffing coordination, or office administrationStrong organizational and multitasking abilitiesExcellent communication and interpersonal skills (both verbal and written)Proficient in scheduling software, Wellsky (formerly ClearCare), and basic computer applicationsAbility to remain calm under pressure and resolve scheduling conflicts quicklyCompassionate, patient, and professional demeanor when working with seniors and caregiversExperience in home care, healthcare, or senior servicesBenefitsBonusesCommissionBenefitsPTOCompany OverviewVisiting Angels Columbus West is a well-established home care agency located in the heart of Clintonville (Beechwold area) that has been proudly serving Columbus, Ohio, and its western suburbs for over 20 years.
