[Remote] Senior Legal Operations Specialist (Contract)

The Senior Legal Operations Specialist will manage legal systems, processes, and analytics to enhance the efficiency of the legal department, collaborating closely with in-house counsel and business stakeholders.ResponsibilitiesOwn the full agreement operational lifecycle β from intake through execution, storage, and ticket closure β across all agreement types, including NDAs (managed end-to-end), MSAs, order forms, SOWs, DPAs, vendor/supplier agreements, and other commercial contractsServe as the primary operational point of contact for commercial contracting activity; coordinate with Sales, Finance, and RevOps to manage deal flow, track agreement status, and escalate substantive legal questions to in-house counsel for resolutionReview and process order forms to ensure adherence to approved rate cards, discount authorities, and other commercial business rules prior to execution; flag exceptions for attorney or management reviewAssign and triage legal request tickets through Salesforce; administer legal ticketing workflows and lead evaluation and integration of improved legal ticketing solutions to enhance intake visibility and response trackingDesign and manage legal intake processes and matter management workflows to improve response times and visibility; build and maintain standard templates, playbooks, self-service legal resources, and escalation frameworksManage the end-to-end signatory process for all agreements, including maintaining the signing authority matrix, coordinating DocuSign or equivalent e-signature workflows, and ensuring executed documents are properly stored and trackedOwn and manage the legal document repository, including executed contracts, policies, and templates; maintain naming conventions, version control, and access permissions to ensure documents are organized, secure, and readily accessibleServe as the primary point of contact for all legal technology platforms; evaluate, implement, and optimize tools (e.g., CLM, e-signature, matter management, spend management); leverage AI-powered legal tools (e.g., Harvey, CoCounsel, Ironclad AI, or similar) to streamline contract review, drafting, and routine workflows, and proactively identify opportunities to automate repetitive tasksDevelop and maintain internal legal policies (data retention, signing authority, acceptable use, etc.); drive training and change management efforts to ensure business stakeholders understand and adhere to legal processes and self-service toolsTrack the companyβs data privacy compliance posture in coordination with the legal and security teams, including obligations under GDPR, CCPA, and other applicable state and regional privacy laws; support related compliance frameworks including SOC 2 and information security policy managementManage data subject requests (DSRs) in accordance with applicable privacy regulations; work closely with the security and engineering teams to integrate and optimize DataGrail or a similar privacy management platform to automate and streamline DSR workflows and ensure timely, compliant responsesDraft first-pass response to privacy questionnaires and impact assessments from customers and prospects; coordinate submission of response to security questionnaires from information security team; build and maintain a response library to accelerate completion and ensure consistency across submissionsManage legal holds and coordinate with outside counsel on litigation support; maintain litigation hold notices, track custodian acknowledgments, and ensure preservation obligations are metCoordinate legal input and review for RFP responses, including managing timelines, liaising with Sales and subject matter experts, and maintaining a library of standard legal responses to accelerate future submissionsDevelop and maintain legal operations dashboards and reporting to track KPIs, including, among other metrics, contract cycle times, matter volume, legal spend, and SLA compliancePartner with Finance to manage outside counsel billing, invoice review, accruals, and budget tracking; support onboarding of new outside counsel, including coordinating engagement letters and matter management setupMaintain entity governance records and assist with corporate filings, board materials and minutes, corporate and state registrations, data broker registrations, subsidiary management, insurance oversight, and intellectual property administrative coordination (tracking filings, deadlines, and outside counsel activity)Support M&A activity, including coordination of legal due diligence, and integration support for acquired entities; as Intentsify continues to grow through acquisition, this role will be expected to onboard new business units into existing legal systems and processesSkillsBachelor's degree required; paralegal certificate, legal operations certification (CLOC, IILOP), or JD a plus3β6 years of experience in legal operations, contract management, or legal technology roles, ideally in a B2B SaaS or high-growth tech environmentHands-on experience with CLM platforms and a strong understanding of commercial contract types and processesExperience with Salesforce for legal ticketing and intake management; familiarity with dedicated legal ticketing platforms (e.g., Jira Service Management, ServiceNow, or legal-specific intake tools) a strong plusExperience managing e-signature and signatory workflows (DocuSign or equivalent), including maintenance of signing authority policiesDemonstrated experience with or strong working knowledge of AI-powered legal tools (e.g., Wordsmith, Harvey, CoCounsel, Ironclad AI, Spellbook, or similar);
