[Remote] Senior Facility Services Director - Operations

The Senior Facility Services Director - Operations will lead the delivery of facility services, ensuring operational performance, vendor management, and client satisfaction across multiple service lines.ResponsibilitiesOwn the day-to-day operational performance of all facility service programs across a multi-site, multi-vendor portfolioEstablish and enforce service delivery standards, KPIs, and SOPs for each service line (janitorial, landscaping, HVAC, electrical, plumbing, security, etc.)Drive on-time, on-budget, and on-scope execution by monitoring work order completion rates, response times, and quality scoresOversee emergency and reactive maintenance protocols, ensuring rapid vendor mobilization and client communicationPartner with client accounts to understand evolving needs and translate them into operational requirementsEnsure the Service Delivery model is executed with precision including People, Process & TechnologyBuild and manage a preferred-vendor network, including sourcing, qualification, onboarding, and ongoing performance managementNegotiate master service agreements, task orders, and change orders to optimize cost, scope, and risk allocationConduct regular vendor business reviews (QBRs) using scorecards covering quality, compliance, safety, and financial performanceManage vendor corrective action plans and, where necessary, vendor transitions or terminationsMaintain competitive bidding practices and market benchmarking to ensure cost competitivenessEnsure all subcontractors carry appropriate licensing, insurance, and certifications; maintain a current compliance database via Utilize Core applicationOwn the operations P&L, including budgeting, forecasting, cost control, and margin optimization across vendor spendDrive labor and material cost efficiency through consolidation, rebidding, and process automation initiativesAnalyze financial variances, identify root causes, and implement corrective measures to protect profitabilityCollaborate with Finance on monthly close, accruals, and reporting, present operational financial results to senior leadershipIdentify and pursue opportunities for organic revenue growth through expanded scope and service line additionsCollaborate on cost models with Sales team to ensure appropriate balance between profitability and selling successImplement and oversee a formal QA/QC program including site inspections, audits, and client satisfaction surveys (i.e. Smart Inspect. Site photos, CAPA)Ensure all operations comply with applicable federal, state, and local regulations (OSHA, EPA, EEOC, ADA, etc.)Maintain and continuously improve documented processes, safety programs, and training curriculaTrack and investigate incidents, near-misses, and client complaints; ensure timely root-cause analysis and resolutionDrive ISO, LEED, CMMS or other relevant certifications/compliance programs as required by client contractsRecruit, develop, and retain a high-performing operations teamSet clear performance expectations, conduct regular reviews, and build succession pipelines for critical rolesFoster a culture of accountability, continuous improvement, and customer-first service deliveryChampion diversity, equity, and inclusion in hiring, vendor selection, and team developmentPartner with Sales and Business Development to support new client pursuits, RFP responses, and contract renewalsContribute to annual strategic planning, setting operational objectives aligned with company growth targetsCollaborate with Technology on Utilize Core software implementation, data analytics, and workflow automationRepresent Operations in executive leadership meetings; provide data-driven insights and recommendationsSkillsBachelor's degree in Facilities Management, Business Administration, Engineering, Operations Management, or a related field; or equivalent combination of education and experience10+ years of progressive experience in facility services, property services, or outsourced services operations5+ years of P&L ownership and vendor/subcontractor management in a multi-site environmentDemonstrated ability to manage large vendor networks (-50+ active subcontractors) across geographically dispersed portfoliosDeep knowledge of facility services trade disciplines (MEP, janitorial, landscaping, security, etc.)Strong financial acumen with experience managing budgets in excess of $20MProven track record of building and leading high-performing operations teamsExceptional negotiation, contract management, and supplier relationship skillsProficiency with CMMS, FM platforms (e.g., ServiceMax, Corrigo, MRI, IBM Maximo), and data analytics toolsBachelor's degreeCertified Facility Manager (CFM), PMP, or Six Sigma Green/Black Belt certificationExperience in a national integrated facility management (IFM) or managed services modelBackground in commercial, healthcare, government, or industrial facility environmentsBenefitsCompetitive payBenefits: Medical, Dental, Vision and Prescription coverage.Paid vacation, holidays, and floating holiday.401(K) with Company match.Company sponsored life insurance, as well as optional AD&D, short and long-term disability.Tuition reimbursement.Employee discounts on vehicles, hotels, theme parks, select cell phone bills and so much more.Pet Insurance.Legal Plan, and ID Theft Protection.Company OverviewCoolSys solves the most complex challenges in refrigeration, air conditioning, heating, engineering, and energy management.
