[Remote] Senior Account Executive

This role involves project execution, client relationship management, and ensuring compliance with regulatory standards.ResponsibilitiesDemonstrate foundational understanding of project management, client strategy, organization, products, disease states, and medical communications through best practices in project executionPromptly and accurately document client contact reports, requests, and meeting outcomes concisely and accuratelyProactively manage client expectations and provide regular updates on project status, risks, and timelinesManage an increasing number of projects independently ensuring estimate adherence, timeliness, and quality process observanceAbility to build relationships with clients and faculty and adopt to different styles and personalities; begins to handle client objections well and defends agency position with support from senior leadershipInitiate projects by developing project scopes, deliverables, timelines, and budget estimatesOpen and maintain all project files and job foldersDrive the day-to-day execution of projects, orchestrating all phases to ensure timely, high-quality deliverySupport opening of jobs within the project and time management system (Workamajig)Maintain all project files and job foldersDevelop estimates with minimal oversight from AD and owns the daily finances on projects and monitors/manages job activity and costs to ensure estimates are maintainedProactively identify and mitigate potential project risks and issues as they ariseManage their project finances, including tracking budgets, monitoring for scope changes, and preparing weekly burn reportsMonitor staff resourcing to ensure adequate coverage across all active project work, collaborating with Operations to find necessary coverage when internal resources are limitedPartner with senior colleagues and finance to prepare monthly financial forecasting and billingAct as the central communication hub for all projects, coordinating cross-functional teams to ensure seamless collaborationLead and facilitate internal and external meetings, distilling notes into key points and actionable next steps for stakeholdersProactively communicate project status to both internal and external stakeholders, keeping a clear record of all critical communicationsDemonstrate ability to handle complex conversations with account and scientific team membersCarefully evaluate project workload and timelines, raising potential resourcing risks with manager to collaboratively determine how to manage coverage needsEnsure all project deliverables meet high-quality standards by conducting thorough content reviews prior to client submissionExpert in Medical, Legal, and Regulatory (MLR) submission processes and client-specific compliance requirements within publication management portals and other systems and ensuring that all projects are conducted in compliance with sameSkillsBachelor's degree, preferably in health sciences, marketing, or communications4-6 years of work experience in a healthcare, marketing, or communications agencyStrong communication, relationship-building, and strategic thinking skillsExcellent organizational skills, attention to detail, and follow-throughCompetency in presentation skillsStrong experience with project management software (e.g., Workamajig, Airtable, Jira) is a critical requirementProficient in Microsoft Word, intermediate-level Excel and PowerPointAbility to travel at least 1-3 times per year to meet with clientsExperience with publication management software is a plusCompany OverviewWe are Fingerpaint Group, a vibrant palette of people and expertise spanning the complete spectrum of life science solutions.
