The role involves providing guidance and effective communication to field operations and overseeing payroll functions for affiliated companies across various states.ResponsibilitiesRepresent the payroll service center by providing support, guidance and effective communication to field operations HR and Payroll RepresentativesOversee/Support payroll functions for a portfolio of assigned affiliated companies. Companies may encompass multiple states in a variety of skilled nursing and assisted living marketsDevelop relationships and foster ongoing partnerships with key stakeholders across operations field leadership, HR, Benefits, Payroll, IT/Systems within portfolio of assigned companiesProvide professional customer service and timely ongoing communications with operations staff in support of all payroll policies and proceduresCoordinates related HR and Benefits customer service with respective service center teamsAssists, researches and provides guidance with field Payroll Representatives for customer service questions/issues regarding timecards, payroll statements, tax elections, payment elections and annual tax documentsCoordinates/gathers operational field driven requirements for shift differentials and incentive pay programsPartners with Payroll Manager, Payroll Team Lead and IT/Systems to implement requested changesAssists and provides guidance on standard and adhoc payroll reporting to field operations staffAdministers, collects and records pay-period control document sign-offs for all assigned affiliated companiesResearches, coordinates and resolves routine pay-period banking exceptions for checks and ACH errors and reissuesConsults with the garnishment/withholding order team to process periodic adjustments when directedPerforms pay-period audits, controls and reconciliations for assigned affiliated companiesResolves any issues, errors, exceptions on a timely basisEnsures periodic checklists, tasks, audits and controls are completed timely and accurately for all assigned affiliated companies to support centralized payroll close and settlementAssist/Coordinates training of new and/or backup field HR Payroll RepresentativesWorks closely with the service center training resource to identify/schedule training needs and follow upsProcesses/Coordinates OnDemand Offcyle Check Requests (Mis-Pay, Retro, Adjustments, Bonuses, Incentives and Misc items) for assigned affiliated companiesProcesses/Coordinates OnDemand Offcyle Check Requests for Terminations for assigned affiliated companiesEnsures compliance with company policy and procedures, federal, state and local regulationsProcesses/Coordinates and Oversees requested Payroll Input adjustments for assigned affiliated companiesEnsures compliance with company policy and procedures, federal, state and local regulationsProcesses/Coordinates and Oversees requested timecard adjustments for assigned affiliated companiesEnsures compliance with company policy and procedures, federal, state and local regulationsProcesses/Coordinates and Oversees requested time off adjustments for assigned affiliated companiesEnsures compliance with company policy and procedures, federal, state and local regulationsMaintain confidentiality of all payroll informationSpecial Projects As AssignedSkillsAssociates degree or higher preferredMust have as a minimum of 1+ years' experience in supporting payroll and/or payroll processingLevel I – 1 to 2 years payroll experienceLevel II – 3 to 7 years payroll experienceLevel III – 7+ years payroll experienceMust be able to manage multiple priorities and effectively multi-task on a daily basisMust be able to work in a payroll environment with constant timelines and deadlinesProficient with MS Word and MS ExcelMust possess the ability to examine and verify payroll documents and reportsMust be able to prepare payroll reports and other records in a systematic, neat, and legible mannerWorkday Payroll and Time Tracking experience is highly preferredPrevious customer service experience for a large employer is a plusBenefitsMedical/dental/vision coverageCompany-provided life insurance401(k) with company matchSick/vacation plansCompany OverviewEnsign Services, Inc. offers healthcare services including skilled nursing, assisted living, and rehabilitation.
