About the position

Therapeutic Associates Physical Therapy is expanding! We're seeking a detail-oriented and motivated Staff Accountant/Assistant Payroll Manager experienced in processing multi-state/multi-entity payroll, accounts payable/accounts receivable, general accounting functions and tax preparation.
The ideal candidate will support daily accounting operations, ensure compliance with tax regulations, and manage payroll functions accurately and efficiently across 9 states, 3 entities and 90+ locations.

Responsibilities
β€’ Process bi-weekly payroll accurately and timely
β€’ Review and approve payroll prior to transmission
β€’ Maintain payroll records and ensure compliance with labor laws
β€’ Prepare payroll tax filings, garnishments and related reports
β€’ Reconcile payroll accounts and resolve discrepancies
β€’ Manage year-end processes including W-2s, 1099s, and related filings
β€’ Respond to tax notices and resolve discrepancies
β€’ Stay current on payroll legislation and regulatory changes
β€’ Coordinate benefits deductions and related payroll adjustments
β€’ Assist in processing vendor invoices, customer invoices, processing payments, required filings and general daily accounting routines
β€’ Prepare and post journal entries and maintain general ledger accuracy
β€’ Assist with month-end, quarter-end, and year-end close
β€’ Reconcile bank accounts, balance sheet accounts, and payroll accounts
β€’ Prepare financial statements and internal management reports
β€’ Assist with budgeting and forecasting processes
β€’ Support annual audits and regulatory reporting requirements
β€’ Prepare and review state and local tax filings
β€’ Ensure compliance with all applicable tax laws and regulations
β€’ Assist with sales and use tax filings
β€’ Support tax planning and respond to tax-related inquiries
β€’ Maintain accurate tax records and documentation
β€’ Additional responsibilities as directed by leadership

Requirements
β€’ Bachelor’s degree in Accounting, Finance, Payroll or related field
β€’ 2+ years of accounting experience
β€’ 2+ years of payroll experience
β€’ Experience with payroll processing and payroll tax compliance
β€’ Experience preparing tax filings (state and local)
β€’ Payroll experience in multi-unit, multi-entity AND multi-state accounting
β€’ Strong knowledge of payroll laws and tax regulations
β€’ Strong knowledge of and ability to apply GAAP
β€’ Proficiency in enterprise HCM and payroll systems; must be comfortable navigating complex, multi-function platforms across payroll, benefits, and workforce management.
β€’ Advanced proficiency in Microsoft Excel; strong working knowledge of Word, Outlook, and PowerPoint
β€’ Excellent report-writing skills with the ability to extract, customize, and present data in clear, user-friendly formats
β€’ Analytical mindset with strong problem-solving and decision-making capabilities
β€’ High attention to detail and accuracy
β€’ High level of professionalism and discretion when handling confidential information
β€’ Ability to manage multiple deadlines
β€’ Strong written and verbal communication skills with desire to collaborate between departments, show curious nature and ability to learn/grow
β€’ Ability to remain seated for extended periods (up to 8 hours/day)
β€’ Ability to use a keyboard and mouse repetitively
β€’ Visual acuity sufficient to read a computer screen for extended periods
β€’ Ability to lift/carry up to 10–15 lbs occasionally
β€’ Ability to communicate verbally and in written form
β€’ Ability to move throughout the office (walking, standing, bending) occasionally
β€’ Must reside in Idaho, Oregon or Washington while employed by Therapeutic Associates Physical Therapy

Nice-to-haves
β€’ Leadership experience strongly preferred
β€’ Experience with accounting software and payroll software (e.g. Business Central, Dayforce, Paylocity or similar systems)
β€’ Experience in multi-state payroll and tax compliance
β€’ Reliable high-speed internet connection
β€’ Ability to maintain a secure, dedicated workspace free from distractions during work hours
β€’ Proficiency with video conferencing tools
β€’ Ability to work independently with minimal supervision
β€’ Strong written and verbal communication skills
β€’ Ability to manage time effectively and meet deadlines in an autonomous environment
β€’ Must be available during core business hours in Pacific Time Zone.
β€’ Ability to attend virtual meetings and respond to communication in a timely manner
