Insurance Office of America is seeking an Operations Specialist I to ensure compliance with carrier/broker and state licensing requirements. This role involves processing agency appointments, managing sales team access, and coordinating licensing activities to support the organization's operational standards.ResponsibilitiesDeliver Outstanding Service: Apply discretion and independent judgment to deliver outstanding service, anticipating needs, maintaining professional communication, and responding quickly with customized solutionsDevelop Relationships: Build strong working relationships with key regulatory, vendor, and broker/carrier contactsCreate and Document Systems: Collaborate with the Manager and team to create and document Carrier & Licensing Operations systems, procedures, and training toolsMaximize Market Access: Structure broker and carrier appointments to maximize market access. Complete agency profiles and related documentation accuratelyManage Agreements: Enter new or modified agreements in the Contract Management system for Legal review and executionSimplify Onboarding: Establish a dialogue with new broker and carrier partners to simplify onboarding, address appointment and access needs, and form strong partnershipsProvide Market Access Information: Answer inquiries about market access and notify employees and agents of significant contract changesFacilitate Book Transfers: Facilitate book transfer activity, minimizing client disruption and transition time for new producersProcess Access Requests: Analyze and process requests for new company and broker access in the Agency Management System, following security and entry guidelines. Coordinate and maintain shared login access to carrier/broker portalsTrack Licensing Expenses: Track licensing expenses, approve invoices, and provide reconciliation data to Accounting and Finance teamsAudit Licenses: Audit existing licenses to identify compliance gaps and help formulate/execute resolution plansResearch State Requirements: Research state requirements for all license types to ensure compliance.
