They are seeking a versatile Operations & Customer Support Specialist to manage day-to-day operations and finances while providing exceptional customer support during urgent situations.ResponsibilitiesAnswer all customer inquiries via phone, text, and emailManage calendars and schedule service appointmentsCommunicate with customers in an empathetic and professional manner during urgent situations (e.g., flooding, broken pipes)Clearly communicate key details to the plumber (problem type, exact location, etc.) to ensure technicians arrive fully preparedHandle invoicing and accounts receivable, including tracking and following up on outstanding paymentsManage and update customer information and sales pipelines in the CRM (Housecall Pro or similar)Provide administrative support, including documentation, data entry, and proactive follow-upsSkillsC1 ENGLISH LEVEL IS REQUIRED, THE SELECTED CANDIDATE WILL BE SPEAKING STRICTLY IN ENGLISH DURING THEIR WHOLE SHIFTExcellent written and verbal English communication skills are mandatoryAbility to work independently and solve problems without constant supervisionStrong ability to communicate with calmness and professionalism, especially during urgent situationsExcellent multitasking and organizational skills to manage workflows across two business unitsA fast learner who can quickly adapt to new tools and processesProven ability to collaborate with internal teams and support leadershipExperience handling accounts receivable, invoicing, and payment follow-upsProficient in spreadsheets (Excel) and collaboration tools (Google Workspace, Slack)Prior experience as a Virtual Assistant or in a similar administrative/support roleExperience using CRM systems (Housecall Pro is a plus, but not required)Company OverviewInside Out empowers growth-focused small businesses with elite support services that drive scale, boost margins, and reclaim valuable time.
