The Marketing Operations Coordinator will manage project timelines, coordinate marketing initiatives, and provide administrative support to ensure the team's efficiency and consistency.ResponsibilitiesManage the Marketing team's Microsoft Planner board, ensuring projects are organized, current, and progressing according to scheduleHelp manage timelines for recurring marketing initiatives and department projectsCoordinate with team members to keep projects moving and follow up on outstanding tasksMaintain marketing templates, documentation, and shared resourcesServe as the operational hub for the Marketing team by monitoring recurring deadlines, tracking deliverables, and helping ensure nothing falls through the cracksMaintain checklists, timelines, and task lists for recurring marketing processesHelp ensure recurring initiatives (newsletters, HQ Downloads, email campaigns, conference milestones, onboarding tasks, Google Business Profile setup, etc.) are completed on scheduleMaintain and improve department workflows to increase efficiency and consistencyUpdate process documentation as workflows evolveBuild email campaigns using existing templates and content provided by the Marketing teamManage email audiences and audience segmentsImport customer lists via CSVAssign appropriate audience segments for campaignsSchedule email campaigns according to the marketing calendarExport campaign reports, update reporting spreadsheets, and archive reportsOwn the monthly Surface Experts company newsletter from content collection through distributionCollect content for company newsletters from content submission forms and emails from franchiseesBuild monthly company newsletter using existing templateCoordinate with proofreaders and reviseSchedule newsletterMaintain internal email audience by adding new employees and archiving inactive email addressesHelp ensure each monthly newsletter is delivered accurately and on timeMonitor the Surface Experts Marketing inboxRespond to routine marketing requestsRoute more complex requests to the appropriate team memberAssist franchisees with marketing questions and resourcesCreate Location pages for new franchisees using established templatesUpdate existing Location pages as requestedPerform routine website content updates in WordPressCreate Google Business Profiles for new franchise locations using established templatesAssist franchisees through the Google Business Profile verification processUpdate business profile information as neededSkillsHighly organized with exceptional attention to detailStrong written communication skillsAble to manage multiple priorities and deadlinesDependable with excellent follow-throughComfortable learning new software platformsProcess-oriented and enjoys creating order from many moving piecesFriendly, professional, and customer-service minded when supporting franchisees and internal team membersProlonged periods sitting at a desk and working on a computerAbility to communicate orallyHearing and vision within normal ranges with or without an assisted hearing deviceNo heavy lifting is expectedExperience with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)Experience with Microsoft PlannerExperience with MailChimpExperience with CanvaExperience with WordPressExperience with Google Business Profile ManagerBenefits401(k) matchingThis is a remote position.Company OverviewSurface Experts is providing small surface repairs for most commercial and residential surfaces.
