This role involves overseeing financial management tasks for Homeowners Associations, ensuring operational excellence, customer satisfaction, and leveraging technology for efficiency.ResponsibilitiesLead the daily operations of Accounts Payable, Accounts Receivable, homeowner accounting, collections, banking administration, and community financial servicesEstablish and monitor operational KPIs, service levels, quality standards, productivity metrics, and customer satisfaction measuresEnsure timely completion of homeowner, community, vendor, and management company requestsServe as the escalation point for complex operational and customer service issuesDevelop scalable operational processes that support customer growth while improving profitabilityOversee vendor invoice intake, approval workflows, homeowner billing, special assessments, and homeowner account maintenanceEnsure compliance with association approval requirements and internal controlsMonitor invoice aging, payment turnaround times, and unresolved vendor issuesManage payment exception handling and vendor-related escalationsDrive adoption of digital payment methods and automation to reduce processing costs and improve efficiencyMaintain homeowner charge tables, assessment structures, and account recordsOversee homeowner statement generation and distributionManage homeowner payoff requests, including Special Assessment payoff requestsReview and process homeowner ownership changes and account updatesManage homeowner collections activities, including delinquency monitoring, late fee administration, and legal status managementOversee the application and release of legal status holds in accordance with governing documents and company policiesCoordinate with management companies, attorneys, and internal teams regarding collection mattersMonitor collection performance and delinquency trendsOversee estoppel processing and ensure completion within established service levelsManage resale requests, ownership transfers, and lender questionnairesCoordinate with title companies, lenders, homeowners, and management teams during ownership transitionsReview and fulfill documentation requests related to property sales and transfersCoordinate homeowner payment materials, coupons, and related communication programsOversee bank account setup, maintenance, and treasury-related administrative activitiesManage bank scanner deployments and banking access requestsPartner with financial institutions to improve operational efficiency and banking automationOversee 1099 tax preparation and related documentation processesManage sales tax administration and reporting activitiesEnsure accurate record retention and audit support documentationMaintain compliance with regulatory, tax, and reporting requirementsOversee workflow management systems, including Asana and related operational platformsEnsure timely completion and follow-up of all customer, homeowner, and operational requestsEstablish escalation processes for aging, high-risk, or unresolved itemsMaintain detailed operational documentation, communication records, and audit trailsIdentify, prioritize, and implement automation opportunities across A/P, A/R, collections, banking, homeowner accounting, estoppels, and resale servicesLeverage AI, OCR, workflow automation, robotic process automation (RPA), and system integrations to eliminate manual processes and improve accuracyUtilize data and analytics to identify operational bottlenecks, improve productivity, and support decision-makingDevelop scalable service models that allow customer growth without proportional increases in headcountRecruit, train, coach, and develop Financial Operations Specialists and support personnelEstablish performance expectations, service standards, and development plansFoster a culture of accountability, customer focus, innovation, and continuous improvementLead change management initiatives related to operational transformation and technology adoptionSkillsBachelor's degree in Accounting, Finance, Business Administration, or related field preferred5+ years of experience in accounting operations, financial services, HOA management, banking operations, or related leadership rolesStrong knowledge of Accounts Payable, Accounts Receivable, collections, homeowner accounting, banking operations, and financial controlsExperience leading operational teams in a high-volume, service-oriented environmentDemonstrated success implementing process improvements, workflow automation, and operational transformation initiativesStrong analytical, organizational, communication, and leadership skillsCustomer service-oriented mindset with strong problem-solving abilitiesCompany OverviewEnumerate, is a provider of software and payment solutions.
