(Remote) HR & Recruiting Assistant - Japanese

About the position

The HR & Recruiting Assistant provides cross-functional support across both Human Resources operations and Talent Acquisition activities. This role is responsible for facilitating a smooth and efficient recruitment process while ensuring accurate and reliable HR operations. By supporting both hiring and administrative functions, the position plays a key role in enabling organizational growth.

Responsibilities
β€’ Create job postings and manage publication across various job boards
β€’ Conduct direct sourcing via job boards, LinkedIn, and other channels
β€’ Manage applicants using the ATS and track selection progress
β€’ Screen resumes and handle initial candidate interactions
β€’ Coordinate interview schedules with candidates and interviewers
β€’ Communicate with candidates throughout the recruitment process, including notifications and follow-ups
β€’ Assist in preparing offer letters
β€’ Conduct reference checks as needed
β€’ Support pre-onboarding preparations and onboarding activities
β€’ Handle onboarding and offboarding procedures
β€’ Prepare employment contracts and related HR documentation
β€’ Assist with social insurance and labor-related administrative processes
β€’ Support attendance and leave data management
β€’ Input and update employee data in HRIS
β€’ Assist with benefits administration
β€’ Respond to internal HR-related inquiries
β€’ Track recruitment KPIs (applications, pass rates, time-to-hire, etc.)
β€’ Prepare recruitment and HR reports
β€’ Ensure proper handling of personal and confidential information
β€’ Organize and maintain HR-related documents and records

Requirements
β€’ Minimum 1 year of experience as an HR Assistant
β€’ Experience supporting full-cycle recruitment processes
β€’ Strong coordination and multitasking skills
β€’ Experience using ATS and HRIS systems
β€’ Basic knowledge of labor laws and HR compliance
β€’ Proficient in Microsoft Office (Excel, Word, PowerPoint)
β€’ Excellent communication skills with both internal teams and external stakeholders
