[Remote] Finance and Operations Manager

They are seeking a Finance and Operations Manager to oversee all financial operations, manage Quickbooks, handle payroll, and ensure accurate billing and invoicing for shipments. The role includes both finance and operations responsibilities, with training provided by current staff.ResponsibilitiesReview every single shipment for quote accuracy and dispute incorrect charges with carriersPrepare each shipment to be billed each weekPerform AP and AR weeklyHandle weekly payroll and manage communications with each state we run payroll inCreate invoices every week and send them outManage Quickbooks and reconcile transactionsCommunicate with our accountantManage the license and insurance for the company on an annual basisNew employee registration / screeningWork with Checkr for background checksQuarterly taxes / 1099 forms at the end of the yearProcessing new orders by providing a BOL#, PRO#, and Carrier based on preset criteriaMaking shipping documents as necessaryAny other Operations related work as advised by the Sr. Operations Manager as it comes upSkillsMust be able to work 11am to 8pm EST Monday through Friday5+ years of advanced experience managing QuickBooks Online (reconciliations, generating weekly invoices, and managing full-cycle AP/AR)Must be able to follow and improve financial SOP's clearly providing directions as to how each aspect of the job is doneStrong analytical skills to audit invoices and the assertiveness to effectively dispute unauthorized or erroneous vendor chargesMandatory experience managing US payroll across multiple states, including an understanding of state-level entity connections, tax withholdings, and compliance. We use Deel for all payrollPrevious experience managing annual business renewals, including corporate licenses, entity registrations, and commercial insurance policiesDemonstrated ability to handle highly sensitive financial and employee data with discretion5+ years of highly detail oriented operations experience with thousands of products5+ years experience overseeing and managing vendorsMust have extensive experience using Gmail, Google Docs, and Google SheetsA high degree of accuracy is required to ensure no mistakes are made as we work with many numbers and orders for each shipment.
