[Remote] Executive Assistant - Administrative Resource Center (ARC)
Note: The job is a remote job and is open to candidates in USA. Baird is seeking a dedicated support professional to join their Global Investment Banking team as part of the Global ARC. The role involves providing critical administrative and operational support to investment banking professionals, managing complex requests, and enhancing internal and external relationships.ResponsibilitiesProvide day‑to‑day administrative and operational support to a team of junior investment banking professionalsArrange and manage domestic and international travel, ensuring compliance with firm policiesPrepare, process, and track expense reports with a high degree of accuracy and attention to detailMaintain data integrity through precise system entries and routine data clean‑upsManage complex calendars and competing priorities while maintaining organizational excellenceServe on a rotational intake schedule to accept, log, and enter new job ticketsAct on behalf of bankers to initiate and monitor IT or HR requestsManage a high volume of incoming requests while maintaining operational efficiencyLiaise with Hospitality and Conference Services to coordinate internal and external meetings and eventsProvide coverage for ARC and onsite assistants during planned and unplanned absencesCommunicate effectively with ARC leadership, onsite support staff, and bankers via email, Teams, and ZoomParticipate in ARC All‑Hands meetings, 1:1s, and performance conversations to support engagement and developmentSkillsHigh school diploma or equivalent required1–5 years of executive or administrative assistant experience (financial services experience preferred)Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPointExperience with travel and expense systems (Concur preferred)Familiarity with CRM platforms (Salesforce preferred)Experience using ticketing systems (Engage preferred)Strong written and verbal communication skillsHigh attention to detail with strong organizational and problem‑solving abilitiesAbility to adapt quickly and thrive in a high‑energy, results‑driven environmentCollaborative mindset with strong judgment and learning agilitySecond shift availability strongly preferredExperience with AI scheduling tools (preferred)BenefitsBonus potential of up to 8.5% of base salaryComprehensive benefits designed for your life, career and futureCompany OverviewSince 1919, Baird has guided families, businesses, communities and institutions toward their financial goals.
