Remote Executive Assistant

This is a remote position.
An established Business Consultancy firm specialising in company compliance and registrations, is seeking a Virtual Executive Assistant to support the company Director with both business and personal initiatives. The role requires 15 hours per week to start for a 3-month trial period. Flexible working hours but availability for 2β3 key meetings per month during business hours is ideal. Week-to-week availability will shift slightly depending on meeting days or project phases
The ideal person understands the βlanguageβ of business compliance, professional services, and high-performance leadership, as well as to engage with stakeholders.
To assist in managing high volume of tasks, meetings, and email communications daily β with multiple internal projects (e.g., software, business partnerships) and executive-level correspondence.
Key Responsibilities:
β’ Email Management: Monitor and manage Gmail inbox; flag priority emails, draft replies, and follow up on outstanding items.
β’ Calendar & Scheduling: Set up meetings, manage changes, and coordinate time zones where needed.
β’ Meeting Support: Attend online meetings, take notes, extract action items, and follow up with responsible stakeholders.
β’ Project Follow-Through: Help drive small internal initiatives (e.g., workshop coordination, service launches), nudge stakeholders, and track deadlines.
β’ Liaison & Coordination: Communicate with accountants, team leads, and partners during tax season or project rollouts.
β’ Light Personal Admin: Assist with tasks like personal finance reminders, doctor bookings, and coordination during periods of family adjustment (e.g., newborn phase).
β’ Correspondence Drafting: Draft and send professional emails or LinkedIn messages on my behalf.
β’ Ad-Hoc Admin: Help with light research, organising documents, or compiling notes when needed.
Requirements:
β’ Strong written and verbal communication skills
β’ Proactive personality with strong follow-through
β’ Comfortable with Gmail, Google Calendar, Outlook, ChatGPT, and can easily adapt to new tools
β’ Able to learn and manage context across multiple threads and priorities
β’ Understands business/compliance environments (e.g., CIPC, company registration, SARS deadlines)
Salary:
R 200 - R 220
