They are seeking an Executive Administrator to support the CEO and Chief of Staff, managing complex calendars, coordinating travel, and ensuring seamless executive operations.ResponsibilitiesManage complex calendars for the CEO and Chief of Staff, including scheduling, adjusting meetings, resolving conflicts, and coordinating priorities across stakeholders; identify, anticipate and proactively resolve schedule conflicts as they arise, and routinely audit calendars with a two-month look aheadProactively manage and prioritize competing executive requests, ensuring alignment with the CEO’s strategic priorities and time allocationPrepare, edit, and review documents, presentations, and executive communications with accuracy and professionalismTrack and reconcile executive expenses, manage P-Card purchases, process expense reports, and monitor procurement and payment approvals in accordance with company policyAttends executive offsites and leadership meetings to coordinate logistics and ensure follow-through on administrative needsServe as primary Point of Contact for internal and external stakeholders on matters pertaining to CEO and Chief of StaffProvide personal support to the CEOServe as a liaison to Board of Directors (BOD)Align with the Chief of Staff and external board executive support teams to ensure BOD meetings are scheduled on a rolling 12-month cadenceSchedule all BOD meetings and organize all onsite meeting logisticsProvide travel support and expense reports for Board members, as needed for GHX-related businessMaintain Board Fracture document ensuring all details are accurate and updated as neededCoordinate domestic and international travel arrangements, including flights, hotels, meals, and transportationProvide real-time support for changes or disruptions to travel schedules, proposing options, and coordinating changesDevelop comprehensive itineraries for conferences, offsites, and multi-stop travelPlan and coordinate executive-level events, including venue selection, catering, logistics planning, and onsite support; proactively solve issues independentlyAssist with small and large-scale special projects, including planning conferences and eventsPartner closely with the Executive Administrator team to ensure continuity of support and operational excellence across the executive leadership teamProactively assess administrative needs, prioritize tasks, and recommend effective solutions to support team and business operationsOrganize and maintain electronic and physical files in compliance with GHX Security and Compliance guidelinesFollow all GHX policies, including Travel & Expense, Compliance, and Security policiesSupport additional assignments as requestedSkills7+ years of experience in executive administration or related role, supporting C-Suite leadership and Board of DirectorsBased in Denver, ColoradoStrong organizational skills with keen attention to detailExpert prioritization and time management skills with the ability to manage multiple tasks and deadlinesAbility to handle sensitive information with confidentiality and discretionComfort and experience working independently and collaboratively in a fully or semi-remote, fast-paced, and frequently changing environmentExcellent written and verbal communication skillsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Moderate travel (up to 10%) required to attend executive offsites, administrative team meetings, and company functionsBachelor's degree in business administration, communications, or related fieldBenefitsHealth, vision, and dental insuranceAccident and life insurance401k matchingPaid-time offEducation reimbursementCompany OverviewGHX is a software-as-a-service company that’s reducing the cost of doing business in healthcare by automating supply chain processes and improving visibility into the products used in patient care.
