The Event Marketing Planner will support the execution of tradeshows, conferences, and field marketing events, focusing on event logistics, vendor management, and operational excellence.ResponsibilitiesEvent Strategy & Program ManagementLead the planning, execution, and operational management of Tier 2 and Tier 3 tradeshows and event programs, serving as the primary operational lead responsible for managing timelines, logistics, priorities, and execution across multiple concurrent events to support brand awareness, customer engagement, and business objectivesSupport the planning and execution of Tier 1 tradeshows, conferences, and other marketing eventsAllocate approximately 75% of time to tradeshow management and 25% to broader event and marketing initiativesCoordinate speaker logistics, including scheduling, travel arrangements, and presentation deadlinesManage event logistics, including transportation, booth operations, inventory allocation, fulfillment, shipping, and onsite readinessEvaluate event requirements and recommend operational strategies, vendors, and process improvements to enhance efficiency, attendee experience, and program effectivenessManage relationships with event vendors, fulfillment partners, shipping providers, venues, and other external stakeholders to ensure timely delivery and service excellenceOversee tradeshow asset management, including booth materials, demo equipment, signage, marketing collateral, and inventory utilization across multiple eventsDirect shipment planning, tracking, documentation, issue resolution, inventory reconciliation, and return coordination while proactively mitigating operational risksCoordinate travel and accommodations for event staff, speakers, and internal stakeholdersManage event registrations, contracts, compliance requirements, and key deadlinesMaintain organized event documentation, project plans, spend trackers, and operational records within Asana and shared systemsTrack event milestones, logistics updates, and program deliverables to ensure successful executionProvide administrative and operational support to sales and marketing teams as neededPartner with Marketing, Sales, Product Marketing, Supply Chain, and external stakeholders to align event execution with organizational priorities and customer engagement goalsFacilitate communication across internal teams and vendors to ensure alignment on timelines, deliverables, and operational expectationsMonitor event execution, logistics workflows, and operational performance to ensure successful program outcomesIdentify risks, resolve operational challenges, and implement process improvements that enhance scalability, efficiency, and event effectivenessSupport budget tracking, post-event reconciliation, inventory updates, and operational analysis to improve future planning and executionMaintain event management systems, reporting tools, and operational documentation to support visibility, accountability, and decision-makingOther duties as assignedSkills25 years of experience in event coordination, tradeshow operations, logistics, or related fieldStrong organizational skills with exceptional attention to detailExperience managing multiple projects and deadlines simultaneouslyExperience coordinating shipments, inventory, and event logisticsStrong communication and collaboration skillsProficiency with project management tools (Asana preferred), Microsoft Office, Google Workspace, and AI toolsExperience with tradeshow booth asset management or storage vendorsFamiliarity with supply chain processes or shipping platformsExperience tracking budgets and managing spend trackersBenefitsBonus eligibleAll Fulltime (30+ hours) employees are eligible for PTO, Sick, and Parental LeaveMedical, Dental, and Vision Insurance401(k) PlanHealth Savings AccountLife InsuranceEmployee Assistance ProgramPet InsuranceCompany OverviewEvent Marketer is a provider of content for the event and trade show industry.
