They are seeking an Event and Content Coordinator to manage logistics for educational trade shows and oversee content publishing across various channels, ensuring smooth execution of events and effective communication with internal teams.ResponsibilitiesOwn end-to-end logistics for Guidebook’s event calendar, including 10+ EDU trade shows per yearManage shipping, receiving, AV, electrical, signage, vendor coordination, and booth setup and breakdownBe on-site at all sponsored events, supporting the team and ensuring the booth runs smoothlyRun the event demand generation engine to create meetings before and after the eventCoordinate logistics for in-kind partnership events (no travel required for these)Build and manage event timelines, briefing internal staff (sales, customer success, product) on where to be, when, and what they needManage event budgets in partnership with the Director of Marketing, tracking spend against allocationCoordinate pre-event promotion (email, social, ads) and post-event follow-up workflowsLead post-event recap reporting, leads captured, pipeline influenced, costs, lessons learnedManage Guidebook’s content publishing rhythm across LinkedIn, YouTube, webinars (Wistia), and emailSchedule and publish social posts, coordinate webinar logistics, and execute email sends through Conversion AIManage video assets in Wistia and YouTube, uploading, captioning, organizing, and ensuring distributionMaintain an organized content calendar so the team always knows what is publishing, when, and whereOver time: grow into drafting first-pass copy for emails, webinar invites, and social posts; editing short-form video for LinkedIn and YouTube; and pitching content ideasCreate short form video content from webinars for LinkedIn AdsAct as the central point of contact for everyone involved in events, sales, customer success, product, vendors, and the Director of MarketingBrief booth staff and internal travelers ahead of each event with clear schedules, talking points, and logisticsManage vendor and agency relationships day-to-day, including AV, shipping, print, and exhibition partnersKeep stakeholders updated on timelines, blockers, and changesOwn the post-event recap report for every Guidebook-attended event, including leads, pipeline, costs, and qualitative learningsPull monthly performance reports across content channels (LinkedIn, YouTube, webinars, email) and share insights with the marketing teamMaintain accurate event and lead source data in SalesforceTrack event budget spend against allocation and surface variance to the Director of MarketingHelp the team understand what is working, what is not, and where we should double downSkillsGenuine love for eventsAbility to manage end-to-end logistics for eventsExperience with vendor coordination and booth setupAbility to run event demand generationExperience in managing event budgetsAbility to coordinate pre-event promotion and post-event follow-upExperience in managing content publishing across various channelsAbility to maintain an organized content calendarStrong communication skills for cross-functional coordinationExperience in reporting and analytics related to events and content performanceAbility to build collaborative working relationships with internal teamsProficiency in using Salesforce for data managementBenefits100% paid benefits: medical, dental, and vision.Short term and long term disability.Unlimited vacation time.401(k) program with matching benefit.Stock options.Awesome company culture and fun virtual hangouts.MacBook and accessories to make you comfortable working from home.Awesome annual company retreats!Company OverviewAt Guidebook, we believe that great events and experiences are built on seamless communication and engagement.
