This role involves administrative coordination, marketing support, and basic financial oversight, making it ideal for someone who thrives in a fast-paced environment.ResponsibilitiesManage and maintain executives’ and team calendars, scheduling meetings and coordinating appointmentsHandle incoming emails and correspondence, triaging and responding as appropriateOrganize and maintain digital and physical filing systems, ensuring documents are accurate and accessibleCreate and maintain SOPsAssist in coordinating travel arrangements, including flights, accommodation, and itinerariesPrepare meeting notes and follow up on action items from meetingsAssist in the development and scheduling of content across social media platformsDraft, proofread, and distribute marketing materials including newsletters, emails, and promotional contentCoordinate with external designers, agencies, or printers on marketing collateralTrack and report on social media engagement metrics and campaign performanceManage posting and engagement on social media platforms (LinkedIn and Instagram)Gather missing receipts from various sourcesProcess and reconcile employee expenses in a timely and accurate mannerSet up bills for paymentCode and submit invoices and expenses to the appropriate GL codesEnsure expenses are approved and reimbursed in accordance with company policyAssist in preparing monthly expense summaries and reports for reviewSkills2+ years of experience in an administrative, marketing, or office coordination roleProficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google WorkspaceFamiliarity with social media platforms and basic content management (LinkedIn, Instagram, Facebook)Experience with expense management toolsExcellent written and verbal communication skillsStrong organizational skills with the ability to manage multiple priorities and deadlinesHigh attention to detail and accuracy in all workDemonstrated ability to handle confidential information with discretionPost-secondary education in Business Administration, Marketing, or a related fieldCompany OverviewWith +10 years in the market, Workana is the largest remote work platform for hiring top talent in Latin America.
