They are seeking an Administrative Coordinator for the Client Accounting & Advisory Solutions department, responsible for providing administrative support, managing client communication, and ensuring quality control and reporting. The role involves collaboration with various teams and effective management of client data and workflow processes.ResponsibilitiesProvide a broad range of administrative and tactical support for the Client Accounting & Advisory Solutions department including administration of projects, assists in the execution of client management, quality control, and job workflowClient Management Engagement Letters: Create client lists, mail merge, send documents via DocuSign, and follow up on signaturesHandle the setup of new clients and the closing out clients in systems such as FloQast, Suralink, GFR, and OneHubManage communication with clients regarding work readiness, reporting, and deliverablesCollaborate with onboarding team for the implementation of client software systems (e.g., QBO, Bill, Gusto, etc.…), payroll processing, and third-party provider registrationsInitiate and maintain effective communication with clients, ensuring timely flow of data, reminders for meetings, deadlines, and deliverablesFoster positive relationships with clients and associate by addressing their inquiries and concerns promptlyQuality Control and Reporting: Engagement Letters: Ensure all applications have appropriate documentation for GFR, Engagement, and FloQastOperational support to DD and RDDs: Distribute production reports and flag for follow-upExtract data for performance reviewsSupport leadership and department meetings, including planning, logistics, and note-takingProvide organizational support for outside conferencesAssist with internal training organizationSTAR/Salesforce Data Management: Monitor job codes and ensure client data accuracy and updatesData Management: Handle data for FloQast, Suralink, GFR, and OneHubSet up, monitor, and finalize engagement bindersWorkflow and Process Tracking Manage FloQast Tasks: Oversee budget creation, template management, user setup, sending requestsWord Processing: Generate and process preparation and compilation of financial statements, including Reach ReportingSkillsAble to use Microsoft Office suite to prepare correspondence, basic reports, tables, and exhibits in support of analyses, using formulas and appropriate formatsProficient in the use of Outlook, Excel and Monday.com for setting up and maintaining project management files and schedulingArticulate in speech; communicates in a clear, fact-based mannerAsk concise, targeted questions to fulfill objectives and task completionEnsure other associates and supervisors are informed of progress and significant project developmentsDemonstrate ability to handle communications and information in a professional manner, including addressing issues requiring discretion, or including confidential materialsAbility to prioritize work and manage time to meet timelines and firm's expectationsDemonstrate critical thinking, sound judgment in making decisions, and ethical behavior in accordance with professional standardsDemonstrate professional image, maturity, self-confidence, and positive attitudesAssociates degree, paralegal, and/or equivalent work experienceBenefitsPrograms and benefits that encourage growth and development and align with their needs and goalsBenefits focused on physical and mental healthPaid time off for volunteering and diversity-related activitiesFlexible work arrangementsCompany OverviewRehmann is one of the largest accounting, consulting and financial services firms.
