[Remote] Administrative Coordinator

The Center for Autism and Related Disorders (CARD) is seeking highly motivated professionals to join their team as an Administrative Coordinator. This role involves providing administrative and operational support for the onboarding and training of newly hired clinical staff, ensuring efficient communication and coordination of training logistics.ResponsibilitiesCoordinate onboarding and initial training activities for newly hired clinical staff, including scheduling classes and distributing training invitations, links, materials, and required documentsEnsure trainees receive timely communications regarding training expectations, schedules, requirements, and other messages from the Training DepartmentAssist with the preparation and organization of training resources and materialsCreate, maintain, and update trainee records and rosters, ensuring accurate and completeness of trainee information and tracking of attendance, progress, and training completionEnsure that training documentation and records are maintained and in accordance with departmental standards and company policiesServe as a primary point of contact for trainees and collaborate with clinicians, trainers, and internal departments to support training processes and resolve administrative issuesProvide timely follow-up regarding attendance concerns, incomplete requirements, or scheduling changesEscalate issues or barriers affecting trainee completion or participation to department leadership as appropriatePrepare reports and maintain documentation related to training activities while ensuring confidentiality and compliance with company standardsSupport process improvements, special projects, and other departmental initiatives as assignedMaintain a work schedule that primarily aligns with Pacific Time (PT) business hours to effectively support training operations across the organizationAbility to maintain confidentiality and compliance with HIPAA and privacy rules at all timesOther duties as assignedSkillsHigh School diploma or equivalent requiredExperience working in administration or scheduling, the healthcare industry or ABA preferredExperience working in an office environmentProficient in Microsoft Office Suite, as well as TEAMS and virtual meeting platformsStrong communication skills, both verbally and writtenGood decision-making skills and problem-solving abilityCustomer-service orientedDemonstrates empathy and compassion with the ability to maintain strict confidentialityAbility to work independently to solve problems, as well as work collaboratively with others while maintaining a positive and solution focused attitudeDemonstrates excellent organization and time management skills, and exceptional attention to detailAbility to manage multiple priorities and meet deadlines in a fast-paced, changing environmentAbility to maintain confidentiality and compliance with HIPAA and privacy rules at all timesExperience working in administration or scheduling, the healthcare industry or ABA preferredCompany OverviewThe Center for Autism and Related Disordersâ CARDÂŽ is among the worldâs largest and most experienced autism treatment provider and the third largest non-governmental organization in the United States contributing to autism research.
